About the Role

We are looking for a highly intuitive, proactive, and detail-oriented Executive Assistant to support a fast-moving founder. This role goes beyond traditional admin support we need someone who anticipates needs, understands communication style, drives follow-ups, and systematizes operations to make life significantly easier.

The ideal candidate has excellent energy, strong communication instincts, and the ability to operate independently while staying aligned with the founder's voice and priorities.

Key Responsibilities

Inbox & Communication Management

  • Log into and manage the executive's email daily
  • Draft and send emails in the executive's voice
  • Handle ongoing email communications with professionalism and clarity
  • Track conversations and ensure no follow-ups fall through the cracks
  • Manage high-volume follow-up across email and text

CRM & Systems Support (GoHighLevel)

  • Work inside GoHighLevel (GHL) daily
  • Understand automations and workflows (not necessarily building from scratch, but understanding how they function)
  • Upload contacts, manage records, and maintain data accuracy
  • Ensure campaigns and communications align with the executive's voice

LinkedIn & Light Marketing Support

  • Manage LinkedIn engagement and messaging
  • Support light marketing initiatives and communications
  • Assist with outreach and connection follow-ups
  • Ensure consistent brand tone across platforms

Calendar & Scheduling

  • Manage and optimize calendar scheduling
  • Coordinate calls, reschedules, and confirmations
  • Protect focus time and proactively identify scheduling conflicts

Systems & Optimization

  • Identify inefficiencies and proactively systematize processes
  • Create simple workflows to improve daily operations
  • Organize files, communications, and task management systems
  • Anticipate needs before they become urgent

Requirements

Core Skills

  • Fluent, professional written and verbal communication
  • Strong follow-up discipline and accountability
  • Highly intuitive able to understand tone, priorities, and unspoken expectations
  • Strong organizational and calendar management skills
  • Experience working inside GoHighLevel (GHL)
  • Comfortable managing LinkedIn communications
  • Tech-comfortable and able to upload, organize, and manage digital assets
