Qualifications
- At least 5 years of experience providing executive-level administrative support to senior leaders in demanding, fast-moving environments
- Required hands-on proficiency with Concur, covering expense preparation, reconciliation, submission, and ongoing expense administration
- Demonstrated success arranging complex international travel, including multi-destination schedules, transportation, accommodations, last-minute changes, and visa requirements
- Experienced in coordinating busy executive calendars, meetings, calls, and shifting priorities across multiple global time zones
- Bachelor's degree or comparable four-year qualification
- Background in financial services, investments, professional services, or another structured corporate setting is preferred
- Strong working knowledge of Microsoft Outlook, PowerPoint, Word, and Excel
- Excellent written and spoken English, with the confidence to communicate effectively with senior executives and international stakeholders
- Strong organizational discipline, sound judgment, discretion, follow-through, and problem-solving skills
- Capable of working independently, anticipating leadership needs, and handling sensitive, time-critical matters with accuracy
- Amenable to working New York/ET business hours and reporting onsite in Makati
Responsibilities
- Provide high-level administrative and operational support to a select group of professionals
- Organize complex internal and external meetings, conference calls, and executive commitments across multiple time zones
- Coordinate domestic and international travel logistics, including air travel, accommodations, ground transportation, and visa documentation
- Build comprehensive travel plans, schedules, and meeting agendas to keep business activities running smoothly
- Prepare, review, and submit expense reports and invoices with a high level of accuracy and timeliness
- Maintain executive and team calendars, proactively resolving conflicts and adjusting priorities as needed
- Develop and organize presentation decks, briefing materials, and meeting documentation using PowerPoint and other Microsoft Office applications
- Support special projects, one-off initiatives, and time-sensitive business requests as they arise
- Take on additional executive support and administrative responsibilities based on evolving team needs
