Key Roles and Responsibilities
Administrative & Operational Support
- Support the raising and tracking of purchase requisitions across Projects, Engineering, and Procurement, including compilation of supporting justifications
- Manage the monthly invoicing process, including:
- Verification of service entry and goods receipt records
- Checking supporting documents with Project Managers and Engineers
- Processing invoice approvals or rejections in the system for payment
- Coordinate and manage monthly staff timesheets for the Technical Solutions team, including updates and troubleshooting for cost allocation
- Admin budget planning for division matters to finance on PPE, staff welfare etc.
- Plan and coordinate monthly management meetings, including:
- Scheduling and sending invitations
- Consolidating and distributing presentation materials
- Preparing and issuing meeting minutes
- Manage fleet administration for company vehicles, including servicing schedules, road tax renewals, and tracking system registration
- Coordinate applications for site access passes and required security clearances
- Support administrative matters for business travel, including cost centre verification and coordination of staff logistics such as personal protective equipment and name cards
- Manage office pantry supplies across assigned locations, including inventory control, replenishment, vendor coordination, and cost tracking
- New hire onboarding support such as management of PPE etc.
- Liaising with external vendor to provide hampers to staff when hospitalized
- Provide general administrative coordination support across the Technical Solutions function as required
Contracts Administration
- Maintain registers for contractual correspondences, ensuring proper recording, tracking, and filing in SharePoint or designated systems
- Support the maintenance and tracking of project bond and insurance registers, including documentation, filing, and expiry monitoring
- Assist in preparation of document transmittals and ensure proper record keeping
- Support issuance of payment responses following internal verification and approvals by Contracts Management team
- Maintain and update project-related registers in coordination with project and contracts teams
- Provide ad-hoc support to the Contracts Manager as required
Qualifications & Experience
- Degree in Business Management or relevant qualification with min 3 years experience.
- Diploma holder with experience are welcome to apply.
- Meticulous in high volume environment.
