Your Role

The Senior Distribution Assistant is expected to perform (but is not limited to) the following tasks:

The Senior Distribution Assistant will positively contribute to the performance of the Minor Hotels by assisting to maximise our online promotional activities and optimising distribution landscape to increase incremental revenue.

  • Manage Distribution team tasks timelines and delegate accordingly.
  • Manage the loading of all corporate rates into SynXis, ensuring these are loaded in a timely manner
  • Ensure rate parity checks and test bookings are completed regularly and any parity issues are flagged and tracked
  • Map SiteMinder rates to OTAs and Sabre SynXis
  • Support with setup of promotions
  • Complete additional tasks as requested by the Director of Distribution and Distribution Manager.
  • Perform rate parity checks based on the set processes and communicate output of the process.

Reporting and Coaching

  • Maintain records in the systems to facilitate ad-hoc reporting.
  • Consolidating Distribution's Daily Task Report and sending it to MS Operations Manager and Minor's Director of Distribution
  • Conduct Weekly Coaching of Distribution Assistants
  • Completing Distribution Team's Quarterly Scorecard
  • Lead onboarding for new team members

Quality Assurance and Data Integrity

  • SOPs – Own the development, revision and standardisation, and roll out of Distribution policies, procedures, forms and tools including knowledge base tools required for the team.
  • Identify areas of team improvements and develop programs that improve the overall quality of the work.
  • Develop and maintain quality performance data and analytics to monitor and improve service excellence.
  • Provide coaching and training to Distribution Assistants as required.

Communication

  • Constant open communication within the Distribution Team
  • Notify the management of any issues immediately as they arise and assist in providing appropriate solutions.
  • Ensure that communication with customers, employees and others is honest, open and professional.
  • Perform occasional audit on Distribution Assistants tasks to ensure they are actioned correctly.

Health And Safety

  • Take reasonable care for your own health while at work and ensure that your acts or omissions do not adversely affect the health and safety of other persons in the workplace.
  • Cooperate with any health and safety regulations in the workplace.
  • Be familiar with all emergency procedures, operate pursuant to them and attend training as necessary.
  • Be vigilant for hazards and risks within the workplace that could cause harm, immediately advise the AFM/FM/CCOM so they can take steps to remove or reduce the risk to workers.
  • Ensure all injuries, accidents or near miss incidents are reported to the AFM/FM/CCOM and other relevant departments on the Incident Report as soon as practicable.
  • Support all approved return to work and rehabilitation programs.
  • Attend and contribute to quarterly Health and Safety Meetings.
