Role Overview
We are seeking an experienced bookkeeper/accountant. This role requires both technical accounting expertise and operational insight to support a scaling business.
Core Responsibilities
Accounting & Financial Management
- Clean up and fully reconcile QuickBooks Online for current and prior periods
- Prepare accurate financials to support business and personal tax filings (including prior years)
- Organize books to enable efficient collaboration with CPA for tax filing
- Maintain ongoing monthly close process with high accuracy and timeliness
Financial Analysis & Projections
- Build and maintain robust financial projections, leveraging classes, SKUs, or other structured data within QuickBooks
- Develop three-statement financial models (Income Statement, Balance Sheet, Cash Flow)
- Analyze and update unit economics and margins as costs fluctuate and the business scales
Tax Awareness & Optimization
- Maintain working knowledge of current tax legislation (e.g., recent federal tax bills impacting small businesses)
- Identify and track eligible deductions, including R&D-related write-offs (20222025 and ongoing)
- Ensure documentation is audit-ready and supports all claimed deductions
Inventory & Operational Workflows
- Design and implement inventory accounting workflows across multiple sales and fulfillment channels
- Establish systems for accurate tracking of COGS, bundles, and multi-pack configurations
- Ensure alignment between accounting systems and operational platforms
Systems Integration & Troubleshooting
- Oversee and troubleshoot integrations between:
- Shopify
- QuickBooks Online
- Payment processors (e.g., PayPal)
- Meta platforms (Facebook & Instagram shops)
- Ensure data integrity across all systems and resolve syncing discrepancies
Reporting & Insights
- Build custom dashboards to monitor KPIs and financial health
- Deliver monthly financial reports with clear, actionable insights and recommendations
- Support decision-making with data-driven analysis
Process Development & Training
- Develop standard operating procedures (SOPs) for accounting and financial workflows
- Create clear documentation and step-by-step guides
- Train internal team on bank reconciliations and financial processes
Ideal Candidate Profile
- Proven experience in CPG and/or RTD beverage businesses
- Advanced proficiency in QuickBooks Online (including classes, inventory, and integrations)
- Strong understanding of inventory accounting and multi-channel fulfillment
- Experience building financial models and dashboards
- Working knowledge of eCommerce ecosystems (Shopify, Meta, payment processors)
- Detail-oriented with the ability to both execute and build systems
Preferred Qualifications
- Experience with Meta (Facebook/Instagram) commerce integrations
- Familiarity with tax strategy and deductions (e.g., R&D credits)
- Background in process development and team training
Schedule
- Part Time (2-4 hours per week to start)
