Job Description
Work Setup & Schedule:
- Hybrid (1-2 days per month or per quarter onsite)
- 8:00 AM to 5:00 PM
- Monday to Friday
What you'll be doing:
- Process day-to-day bookkeeping transactions in Xero and MYOB, ensuring transactions are coded accurately and supported by appropriate documentation.
- Manage source documents in Dext, including invoices, receipts, supplier bills and expense claims, and ensure timely coding, review and posting to the accounting system.
- Complete bank, credit card, loan, payroll clearing, accounts payable, accounts receivable and balance sheet reconciliations, investigating and resolving variances promptly.
- Prepare and process weekly, fortnightly and monthly payrolls, including pay runs, superannuation, leave, deductions and payroll-related reconciliations, in line with client requirements.
- Maintain accounts payable and accounts receivable processes, including bill entry, payment preparation, invoice follow-up, debtor monitoring and supplier/customer account reconciliations.
- Complete monthly, quarterly and recurring bookkeeping tasks by agreed deadlines, including GST-related checks and preparation support for BAS workflows where required.
- Maintain workflow tasks, priorities and outstanding items in the relevant workflow system, ensuring task status, due dates and notes are kept accurate and up to date.
- Record time worked accurately and in real time, with appropriate descriptions of work completed for reporting, billing and productivity tracking purposes.
- Provide clear daily progress updates to the client and/or team lead, including work completed, items in progress, blockers, questions and expected completion dates.
- Follow up on pending information, unresolved queries and unfinished work, and escalate delays, risks or unusual transactions in a timely and professional manner.
- Communicate professionally with clients, team members and internal stakeholders through email, chat and other agreed channels, ensuring messages are clear, accurate and appropriately documented.
- Follow documented processes, client-specific instructions, internal quality standards and confidentiality requirements at all times.
What will make you a great fit:
- At least three years of experience in Australian bookkeeping, accounting support or a similar client service role.
- Strong hands-on experience using Xero and Dext for transaction processing, document management, coding and review.
- Working knowledge of MYOB Business, including bookkeeping transactions, reconciliations and reporting support.
- Experience using Xbert, Karbon or similar workflow management systems to track tasks, due dates, queries and work progress.
- Strong understanding of Australian bookkeeping practices, including GST treatment, BAS support requirements and common compliance considerations.
- Solid reconciliation skills across bank accounts, credit cards, clearing accounts, accounts payable, accounts receivable and balance sheet accounts.
- Payroll processing experience, including pay runs, superannuation, leave, deductions and payroll-related reconciliations.
- High attention to detail, with the ability to identify errors, investigate discrepancies and resolve issues with minimal supervision.
- Excellent written and spoken English, with the ability to communicate clearly and professionally with clients, team members and internal stakeholders.
- Experience working with Australian clients or businesses, including the ability to follow client specific instructions and working styles.
- Multiple-client experience is ideal
- Strong organisational and time management skills, with the ability to manage competing priorities, meet deadlines and maintain progress on recurring tasks.
- Ability to work independently, provide timely updates, escalate blockers appropriately and consistently meet agreed deadlines and KPIs.
