Job Description

What this job involves:

The Early Careers Coordinator owns the end-to-end lifecycle of JLL's internship program across the United States and Canada. Operating under limited supervision, you will independently manage 500-600 intern hires per cycle—from bulk requisition through onboarding, conversions, and offboarding. Your specialized expertise in internship workflows, Canadian compliance, and Workday processing enables JLL to efficiently attract and develop early career talent across AMR.

What your day-to-day will look like:

Own the full internship hiring cycle by independently managing bulk requisition creation in Workday for 500-600 intern openings across the US and Canada, coordinating candidate communications, tracking offer acceptance and onboarding progress, and adapting workflows to fit cycle-specific needs without requiring step-by-step direction.

Process complex offer documentation and onboarding materials including offer letters, employment agreements, tax forms (W-4 for US, TD1 for Canada), Social Insurance Number (SIN) verification for Canadian interns, and country-specific compliance documentation—independently resolving routine exceptions and non-standard scenarios.

Monitor intern lifecycle milestones and provide advisory support by tracking end dates across the 500-600 person population, advising hiring managers on extension/conversion/termination options with clear compliance explanations, ensuring timely decisions, and flagging cohorts at risk with recommended actions.

Manage the specialized intern-to-full-time conversion process by independently executing end-to-end conversion workflows in Workday (job profile changes, compensation adjustments, documentation updates), partnering with recruiters and hiring managers on timelines, resolving system exceptions (non-standard compensation, role reclassifications, cross-location moves), and coordinating with Payroll for accurate first-day pay.

Apply specialized knowledge of Canadian intern compliance by independently processing Canadian documentation including SIN verification, CPP/EI applicability determinations (including province-specific variations), Quebec-specific payroll obligations (QPP/QPIP), T4 reporting, and minimum wage compliance—escalating complex cross-border scenarios to Payroll or Legal with clear documentation and recommended approaches.

Maintain data integrity and produce program reports by managing accuracy across Workday, flagging and resolving data discrepancies, extracting and compiling monthly reports on hire status, end dates, and conversion pipeline, and proactively communicating risk to hiring managers.

Serve as subject matter expert and primary contact for hiring managers, HR partners, and intern candidates by advising on process workflows, compliance requirements, Workday navigation, and regulatory considerations with clarity—translating complex requirements into accessible guidance and addressing high-volume queries across time zones without escalation for routine matters.

Coordinate intern merchandise and welcome kit logistics by managing procurement and fulfillment with vendor partners, tracking orders, resolving delivery issues, and ensuring timely arrival ahead of each cycle

Required Qualifications:

Bachelor's degree in Human Resources, Business Administration, or related field from an accredited institution.

Minimum 5 years of progressive experience in recruitment coordination or HR operations with demonstrated exposure to high-volume, cycle-based workflows—showing sustained capability to manage competing priorities and non-routine situations independently.

Prior experience managing internship, early careers, or campus hiring programs strongly preferred—this is the core of the role, not a secondary responsibility.

Working knowledge of Canadian intern payroll and tax obligations is required including SIN requirements, CPP/EI applicability for student populations (including province-specific variations), Quebec-specific rules (QPP/QPIP), T4 reporting, and minimum wage compliance—able to independently process Canadian documentation accurately.

Expert-level proficiency in Workday is required with demonstrated capability in bulk requisition processing, pre-hire and hire workflows, employee lifecycle transactions (conversions and terminations), data extraction, and reporting—able to navigate complex system processes confidently and maintain data integrity across high-volume populations.

Familiarity with US internship compliance requirements including I-9 processing, state-level employment standards, minimum wage compliance, and FLSA considerations.

Confident and proactive communication skills with ability to advise stakeholders on process, compliance, and timeline matters without relying on escalation for routine questions, translate complex regulatory requirements into clear guidance for non-HR audiences, and manage high-volume queries across time zones.

Proven ability to operate independently under limited supervision by managing day-to-day internship cycle activities, analyzing and resolving non-routine situations (particularly conversion scenarios, Canadian compliance edge cases, and cross-border arrangements) without step-by-step direction, and applying discretion to adapt workflows

Preferred Qualifications:

Prior experience serving as a subject matter expert or go-to resource for specialized HR programs or early careers initiatives Experience producing and presenting program-level reports or analytics to hiring managers or business stakeholders Exposure to vendor management or procurement coordination for HR-related services or program logistics Experience coordinating HR activities across multiple business units, regions, or time zones Prior involvement in process improvement initiatives within HR operations—indicating ability to identify opportunities to improve cycle effectiveness and reduce processing errors Broad operational knowledge of multiple HR systems beyond Workday (ADP, background verification platforms, specialized recruiting tools) Demonstrated ability to thrive under pressure in fast-moving, deadline-driven environments—bringing proven track record of managing peak hiring cycles and maintaining accuracy during high-volume periods
