Job Description

  • Prepare and release memos, letters, and other correspondence.
  • Handle clerical tasks such as typing, filing, scanning, and record-keeping.
  • Maintain and organize physical and digital files for easy retrieval.
  • Schedule meetings, prepare minutes, and follow up on action items.
  • Assist with preparation and submission of liquidations, reports, and payment requests.
  • Relay notices, instructions, and updates from the Associate Director to staff (and vice versa)
  • Ensure completeness of documents for audit and compliance purposes.
  • Provide clerical assistance during fieldwork or site visits with the Associate Director.

Qualifications

  • Graduate of any 4-year course (preferably Business Administration, Office Management, or related).
  • At least 1 year of experience in secretarial, clerical, or administrative roles.
  • Proficient in Microsoft 365 (Word, Excel, Teams, Outlook).
  • Strong organizational and time management skills.
  • Good communication skills in English and Filipino.
  • High attention to detail and accuracy.
  • Willingness to accompany management on occasional fieldwork.

  • Well-prepared Memos and Documents Clear, timely, and accurate.
  • Organized Filing System Easy retrieval of both digital and physical files.
  • Accurate Records Attendance, leave, and expense records updated consistently.
  • Timely Submissions Liquidations, reports, and requests filed on time.
  • Efficient Meeting Support Minutes prepared and action items tracked.
  • Fieldwork Support Clerical assistance provided when accompanying the Associate Director.

  • Can drive (motorcycle, four-wheeler)
  • IT / programming background
  • Or Audit background
