Job Description

  • Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, senior executives, clients, and partners.
  • Manage the CEO's complex and ever-changing calendar, schedule appointments, and coordinate meetings, including high-level external engagements.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Prepare and review reports, presentations, and other materials for the CEO, ensuring accuracy and quality.
  • Conduct research, compile data, and prepare briefing materials to support the CEO in decision-making processes.
  • Coordinate and prioritize the CEO's emails, phone calls, and other communications, responding on their behalf when necessary.
  • Manage travel arrangements, including booking flights, accommodations, and ground transportation for the CEO's business trips.
  • Assist in preparing for and supporting the CEO in board meetings, conferences, and other key events.
  • Anticipate the CEO's needs, proactively identify opportunities to increase efficiency, and provide strategic support as needed.
  • Collaborate with other members of the executive team and departments to ensure alignment and effective communication.

Scope Of Work

  • Strategic Support: Provide high-level administrative and strategic support to the CEO, including managing priorities, projects, and initiatives.
  • Communication Management: Screen and manage the CEO's communications, ensuring timely responses and maintaining a professional image.
  • Relationship Management: Cultivate and maintain relationships with key stakeholders on behalf of the CEO, including board members, investors, and partners.
  • Executive Briefings: Prepare briefing materials, reports, and presentations for the CEO's meetings, presentations, and speaking engagements.
  • Decision Support: Conduct research, gather data, and provide insights to support the CEO in strategic decision-making processes.
  • Board and Committee Support: Assist in preparing for board meetings, coordinating agendas, materials, and follow-up actions.
  • Travel Coordination: Arrange complex travel itineraries, accommodations, and logistics for the CEO's domestic and international trips.
  • Event Planning: Coordinate and support the CEO in organizing corporate events, conferences, and other special occasions.
  • Project Management: Manage special projects assigned by the CEO, ensuring deadlines are met and objectives are achieved.
  • Problem Solving: Handle day-to-day issues and challenges on behalf of the CEO, making decisions or escalating as needed to ensure smooth operations.
  • Educational Qualifications: Bachelors degree in Business Administration or related field.
  • Experience Level: 1-3 years of relevant secretarial or administrative experience.
  • Skills and Competencies: Strong New Business Development, excellent written and verbal communication, time management, employee relations.
  • Responsibilities and Duties: Manage schedules, organize documents, assist in communication, handle employee relations and support new business initiatives.
  • Working Conditions: Office environment; may involve multitasking and working under pressure.
  • Qualities and Traits: Detail-oriented, adaptable, proactive, and able to prioritize tasks effectively.
