Job Description

Main Duties And Responsibilities

I. Scholar Care and Program

  • Coordinates and hosts orientation sessions or open houses for newly accepted ASHS scholarship students, providing them with essential information and resources to support their successful integration and transition
  • Conducts individual consultations with scholars to check up on their academic performance, preparation for college life, and other matters
  • Documents scholars concerns and relays them to the relevant support office (e.g. Office of Guidance and Counseling, Office of Health Services, etc.)
  • Oversees the resolution of scholar concerns by regularly checking in with the scholars and coordinating with the appropriate support offices to address any issues
  • Supports Grade 12 scholars by helping them access college review materials and programs, and provides guidance with their college application processes
  • Facilitates the organization of a spiritual development program for scholars
  • Attends to the needs of scholars by processing various benefits and services, such as dorm scholarships, food and transportation allowances, uniform allowances, books and other equipment/s such as laptops
  • Collaborates with SINAG, the scholars organization, in planning activities for the benefit of scholars

II. Financial Aid Application and Scholar Selection

  • Financial Aid Application
    • Attends to scholarship-related inquiries and requests from applicants, parents, and others from various communication channels (e.g., face-to-face, online, phone, office email)
    • Prepares informational materials about the ASHS Scholarship Program and its application process and sends them to targeted applicants from public schools in collaboration with ACED, Tulong-Dunong and SINAG networks
    • Assists the Office of Admission and Scholarships (OAS) with the implementation of the A-SHAPE program and conducts interviews with financial aid applicants
    • Compiles and organizes data from financial aid applications into comprehensive profiles, streamlining the review process for the financial aid committee and ensuring timely decision-making
    • Prepares and validates the information collected from scholarship forms given to scholars and scholarship applicants, ensuring accuracy and completeness to facilitate seamless scholarship processing
  • Scholar Selection
    • Develops and maintains a comprehensive database of all selected scholars and distributes updated lists to class moderators, guidance counselors, and relevant offices to support effective monitoring and oversight of the scholars progress
    • Ensures strict adherence to all scholarship requirements outlined in the contract, promoting compliance and a thorough understanding of the scholarship program
    • Assists the Coordinator by drafting and preparing letters to inform financial aid scholarship applicants of the decisions regarding their applications
III. Scholarship Benefactors Relationship

  • Supports the Coordinator in fostering relationships between scholars and benefactors by arranging and facilitating meetings between them
  • Accompanies scholars during meetings or interactions with benefactors to facilitate smooth and supportive connections
  • Aids the Coordinator in collecting thank you letters and performance data from scholars, which are essential for preparing reports to be shared with benefactors

IV. Scholarship Alumni Organization and Monitoring

  • Collects and maintains post-graduation data on the scholars to track their progress and involvement as alumni
  • Facilitates the organization of scholar alumni, engaging them in activities that support and mentor future SHS scholars

V. Performs other work-related tasks as may be required by the immediate supervisor and authorized representative

Minimum Qualifications

Knowledge, Skills, and Abilities:

  • Knowledge of the Scholarship Program: Possesses a thorough understanding of scholarship program policies, guidelines, and eligibility requirements, ensuring adherence to these standards
  • Knowledge of Financial Aid Systems: Possesses a deep understanding of financial aid systems and processes, including the management of scholarship grants, tracking of financial aid distributions
  • Communication Proficiency: Demonstrates excellent oral and written communication skills, effectively conveying information and ideas
  • Records Management: Ability to systematically organize, store, update, and protect Office and scholar-related records throughout their life cycle from the time of creation or receipt to their eventual disposition/turnover
  • Customer Service Skills: Ability to understand client perspectives and respond to their needs with urgency and serious attention
  • Analytical Skills: Ability to analyze data and information to make informed decisions and solve problems effectively
  • Interpersonal Skills: Ability to build and maintain positive relationships with scholars, benefactors, and other stakeholders
  • Active Listening: Ability to give full attention to what other people are saying, taking time to understand the points being made and asking questions as needed
  • Adaptability and Efficiency: Ability to adapt to changing priorities and work effectively in a fast-paced environment
  • Planning and Organization Skills: Ability to do strategic planning, organizing tasks, and managing all resources efficiently to achieve objectives
  • Technological Savvy: Demonstrates proficiency in Microsoft Office Applications and other Internet applications
  • Time Management Skills: Displays a strong work ethic, adheres to systematic approaches, and manages tasks effectively, even under tight deadlines and pressure
  • Proactivity and Innovation: Demonstrates proactive behavior and the ability to work autonomously with minimal supervision, taking initiative to address challenges and pursue opportunities for improvement
  • Organization and Prioritization of Work: Ability to effectively plan and coordinate the delivery of required outcomes, according to importance and urgency; keen to details

Education And Experience Requirements

  • Graduate of any Bachelor's Degree but a background in Psychology or Counseling is an advantage
  • With at least 1-2 years of relevant work experience in an academe
  • Experience as an Ateneo scholar/alumnus is an advantage
