Job Description
We are looking for a highly organized and proactive Scheduling & Workforce Coordinator to manage the day-to-day scheduling and workforce coordination of allied health professionals across Residential Aged Care services.
You will coordinate clinician rosters, availability, leave, backfill, and short-notice changes while serving as a key point of contact for allied health professionals. The role is suited to someone with strong scheduling, rostering, workforce coordination, or healthcare operations experience who can work proactively in a fast-paced environment.
Key Responsibilities
- Manage day-to-day clinician scheduling and rostering based on service requirements, availability, contracted hours, and operational priorities.
- Monitor rosters to identify gaps, conflicts, leave requirements, and coverage risks, and resolve issues proactively.
- Manage planned and unplanned leave, sick calls, and backfill requirements to maintain service continuity.
- Maintain visibility of clinician availability and help keep the casual workforce pool engaged for coverage.
- Act as a key point of contact for allied health professionals regarding rosters, availability, leave, and scheduling changes.
- Communicate effectively with clinicians, Operations, Clinical teams, and other stakeholders.
- Monitor workforce capacity, contracted hours, utilization, and unfilled services.
- Prepare scheduling and workforce reports and maintain accurate workforce records.
- Maintain scheduling information across Deputy, Monday.com, and Outlook and resolve system discrepancies.
- Identify opportunities to improve scheduling processes, workforce efficiency, and reduce manual administration.
Requirements
Essential:
- Experience in scheduling, rostering, workforce coordination, or a similar operational role.
- Strong organizational, time management, and problem-solving skills.
- Excellent attention to detail and accuracy.
- Ability to manage competing priorities and respond to urgent or last-minute changes.
- Strong written and verbal English communication skills.
- Ability to work independently and proactively resolve issues.
- Experience with scheduling, rostering, or workforce management systems.
- Strong Microsoft Office skills, particularly Outlook and Excel.
Highly Desirable:
- Experience in healthcare, allied health, aged care, disability, or community services.
- Experience working directly with healthcare/allied health professionals.
- Aged care or home care rostering experience, particularly high-volume rostering.
- Experience with Deputy, Monday.com, Salesforce, or similar systems.
- Experience working across multiple sites.
- Certificate IV, Diploma, or tertiary qualification in Business Administration, Health Administration, Operations, or a related field.
