As we scale, we are looking for a process-driven Sales Operations Coordinator to serve as the backbone of our sales team, ensuring our internal data integrity matches the high quality of work we deliver to our clients.

About the Role:

We are seeking a highly organized and assertive Sales Operations Coordinator. In this role, you will own the operational rhythm of the sales cycle. You will not just support the sales team; you will hold them accountable. You will serve as the Gatekeeper of our pipelinemanaging the generation of critical sales documents (SoWs, NDAs) while simultaneously enforcing strict data hygiene standards within Salesforce. Your goal is to reduce friction in the deal-closing process while ensuring that our CRM is accurate, up-to-date, and reliable every single day.

Key Responsibilities

1. Pipeline Monitoring & Data Enforcement (Primary Focus)

  • Daily Audits: Conduct daily reviews of the Salesforce pipeline to identify stale opportunities, past-due close dates, and missing next steps.
  • Proactive Accountability: Actively follow up with Sales Representatives to ensure activity logs (calls, meetings, emails) are recorded and Opportunity stages reflect the reality of the deal.
  • Data Integrity: Ensure every opportunity has the necessary fields completed before it moves to the next stage. You will be the primary point of contact for fixing data errors and enforcing best practices.

2. Documentation Management


  • The Gatekeeper Function: Manage the drafting, formatting, and issuance of Statements of Work (SoWs), NDAs, and Service Agreements.

Note: Documentation support is provided only when Salesforce data is current and accurate.

  • Contract Assembly: Assemble complex contracts for Staff Augmentation (Time & Materials) and Implementation projects (Fixed Price), ensuring scope and pricing match the approved terms.
  • Vendor Compliance: Organize and manage client accreditation forms, vendor setups, and compliance documentation required by enterprise clients.
  • Pass through approvals to directors and managers as a final gate.

3. Process Coordination & Reporting


  • Forecast Preparation: Prepare the pipeline reports and dashboards for the Weekly Sales Meeting, highlighting data gaps and at-risk deals to leadership.
  • Sales-to-Delivery Handoff: Coordinate with the Delivery team to ensure that resources promised in Sales contracts are available and properly scoped.
  • Process Improvement: Identify bottlenecks in the sales admin process and implement solutions to speed up deal velocity without sacrificing data quality.

Qualifications:


  • Experience: 2+ years of experience in Sales Operations, Deal Desk, or a Sales Administrator role. Experience in a Professional Services or IT Consulting environment is strongly preferred.
  • Salesforce Proficiency: Strong working knowledge of Salesforce (Lightning) is required. You must be comfortable running reports, managing dashboards, and auditing records.
  • Strong Backbone: You are comfortable holding others accountable and enforcing process adherence with senior team members.
  • Attention to Detail: You have an eye for error-free documentation and can spot a formatting issue or a pricing discrepancy immediately.
  • Communication: Clear, concise written and verbal communication skills. You know how to be helpful but firm.
