Location: Hybrid - 3x a week onsite during the probationary period (to be revisited upon regularization)

Job Overview

The Sales & Executive Support Coordinator supports the sales function with a strong focus on revenue generation through proposal writing and sales support. This role acts as a central coordinator across sales, leadership, and operations to ensure smooth workflows, owns proposal development as a core responsibility within sales enablement, and provides executive and administrative support including diary management, meeting coordination, and logistics.

Duties & Responsibilities

  • Lead end-to-end proposal writing, including tenders, quotes, RFP/RFQ/RFT responses, and pitch documents
  • Translate high-level briefs into professional, client-ready proposals aligned to revenue goals
  • Maintain and manage CRM data using HubSpot (core CRM), including pipeline tracking and updates
  • Utilize marketing platforms to support sales campaigns, collateral, and outreach efforts
  • Organize meetings, manage calendars, and provide full diary management support
  • Coordinate logistics including travel, events, client meetings, and internal sessions
  • Prepare agendas, capture notes, and ensure follow-ups on meetings and action items
  • Support sales operations including reporting, forecasting inputs, and process compliance
  • Monitor and respond to tenders and quoting opportunities, including initial research and coordination
  • Collaborate cross-functionally to ensure alignment across sales, operations, and delivery teams

Key Qualifications

  • Proven proposal writing experience (non-negotiable) with a strong focus on driving revenue outcomes
  • Experience in sales enablement with proposal writing as a core function
  • Hands-on experience with HubSpot CRM (non-negotiable)
  • Familiarity with marketing platforms and supporting sales campaigns
  • Strong organizational skills with experience in meeting coordination, diary management, and logistics
  • Ability to manage multiple priorities and meet tight deadlines
  • Excellent written and verbal communication skills
  • High attention to detail and strong stakeholder management skills
  • Proactive, resourceful, and comfortable working in a fast-paced environment
