Job Description

POSITION DESCRIPTION

The Sales Executive Assistant provides high quality administrative, operational and coordination support to five senior members of the Sales team. The role plays a key part in enabling effective customer engagement, supporting commercial planning, ensuring meeting preparedness and maintaining accountability across agreed actions. This position is pivotal in strengthening the team's operational rhythm and ensuring a consistent, professional experience for customers visiting OX HQ UK.

KEY RESPONSIBILITIES

Customer & Sales Meeting Coordination

Prepare high quality data packs, dashboards and presentations for key customer meetings.

Coordinate meeting logistics, including room bookings, attendee coordination, agenda preparation, and pre-read distribution.

Meeting Participation & Accountability

Attend key customer meetings and weekly sales leadership meetings.

Capture clear and accurate notes reflecting decisions, risks, opportunities and commitments using the SBI or structured action framework.

Record, assign, and follow up actions to ensure ownership and timely completion.

Support Sales Leaders by preparing weekly updates, including sell through performance, priority actions, and progress reports.

Sales Reporting & Planning

Produce and maintain weekly sell through data reporting for key accounts, highlighting trends, exceptions and opportunities.

Prepare weekly summary reports and packs for the Sales Leaders meeting.

Maintain and update PowerPoint slide decks for:

o Annual S1 targets and plans

o Annual S2 targets and plans

o Rolling promo calendars for Trade, Retail, and EU

Assist with gathering and validating data from multiple stakeholders to ensure accuracy in all reporting.

Operational & Administrative Support

Manage travel bookings (flights, accommodation, logistics), ensuring cost effective and well coordinated itineraries.

Support diary and calendar management for senior Sales leaders where required, ensuring efficient scheduling and prioritisation.

Coordinate internal communications on behalf of the Sales Leaders, including meeting reminders, agenda setting and sharing key updates.

Assist with document control, version management and file organisation for sales presentations, account plans and commercial documents.

Partner with the team to ensure Wrike tasks are updated, monitored and aligned with project timelines.

Sales Team Enablement & General Support

Liaise with internal stakeholders (Marketing, Ops, Finance, P&C) to gather information needed for sales updates, reporting or planning.

Acting as a central coordination point for routine tasks and communications.

Candidates must be located in the Philippines.

40 Hours per Week (Monday - Friday)
