Role Description

The Deal Flow Administrator plays a critical role in ensuring the smooth management and execution of all active deal pursuits across the organization. This individual will serve as the central point of coordination for tracking, following up, and driving progress on embedded base growth opportunities, seasonal ramps, new logo pursuits, proactive proposals, and new line-of-business (LOB) break-ins.

  • Track and update the exact status of each deal, ensuring accuracy and timeliness of information.
  • Identify and document outstanding action items, deadlines, and responsible owners for each workstream.
  • Proactively follow up with stakeholders to drive timely completion of all action items.
  • Draft and send follow-up emails, reminders, and status communications as needed to keep momentum.
  • Engage daily with Solutioning, Pricing, IT/Tech, Sales, and other relevant teams to understand changes in priorities, action items, and timelines.
  • Escalate risks, delays, or unresolved items to senior leadership when appropriate.
  • Provide regular summaries and status updates to Lexy, Tim, and Joel.
  • Ensure full visibility into the progress of every deal pursuit workstream, highlighting gaps or concerns.

Qualifications

  • Bachelor’s degree preferred, or equivalent professional experience.
  • 2+ years in a project coordination, sales support, or administrative support role (preferably in a BPO, technology, or sales-driven environment).
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proven ability to work with cross-functional teams and influence without direct authority.
  • High attention to detail and ability to thrive in a deadline-driven environment.
  • Proactive mindset with strong problem-solving skills.
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook) and experience with CRM or project management tools is a plus.
