Job Summary
The Sales Coordinator oversees and coordinates sales activities across Metro Manila and Provincial stores, ensuring smooth operations, timely order fulfillment, and effective communication between Sales, Production, Logistics, and customers. This role supervises Sales Associates, addressing their concerns, guiding their daily activities, and ensuring compliance with company policies. The Sales Coordinator ensures that all stores under their responsibility have the right products, proper support, and operational guidance to meet sales targets and maintain high customer satisfaction.
Job Duties and Responsibilities
1. Sales Coverage & Store Coordination
- Oversee sales activities and operations for Metro Manila and Provincial stores.
- Ensure smooth communication between stores, Sales, Production, Warehouse, and Logistics teams.
- Monitor stock levels, order fulfillment, and delivery schedules for all assigned stores.
- Address store concerns promptly to maintain operational efficiency and customer satisfaction.
2. Supervision of Sales Team
- o Supervise Sales Associates, providing guidance and support in daily sales operations.
- o Assign tasks, monitor performance, and ensure compliance with company policies and procedures.
- o Address team concerns, facilitate problem-solving, and promote motivation and accountability.
3. Order Processing & Documentation
- Receive, review, and process orders from Metro Manila and Provincial stores accurately and on time.
- Ensure proper preparation and documentation of sales orders, delivery receipts, invoices, and related records.
4. Inventory
- Support inventory monitoring to prevent stock shortages or overstocking across all stores.
- Communicate urgent order requirements and sales forecasts to relevant departments.
- Conduct monthly inventory checks of all assigned stores and reconcile stock discrepancies.
5. Reporting & Performance Tracking
- Maintain accurate sales records, customer/store files, and order tracking reports.
- Prepare regular reports on sales performance, order fulfillment, inventory status, and team performance.
- Escalate operational issues, risks, or delays to management in a timely manner.
6. Customer & Store Relations
- Serve as the main point of contact for store inquiries, complaints, or operational concerns.
- Ensure high levels of store and customer satisfaction by addressing issues promptly and professionally.
- Support store initiatives to increase sales and improve operational efficiency.
7. Compliance & Administrative Duties
- Ensure all sales operations comply with company policies, procedures, and relevant regulations.
- Maintain confidentiality of sales data, pricing, and customer information.
- Assist in administrative tasks, scheduling, and coordination of sales activities as assigned.
