Sales and Editorial Assistant
Role Overview:
Supports the Sales and Editorial teams by coordinating advertising materials, contracts, sales reports, bookings, and other administrative tasks. Works closely with Account Managers, media buyers, Accounting, and other departments to ensure smooth and timely execution of sales and editorial activities.
Key responsibilities:
- Organize and submit forward bookings, weekly sales revenue and barter reports and send copy of the report to Accounting department Tatler Philippines and Finance Regional office in Hong Kong
- Ensure proper execution of advertisements for the monthly issues of Tatler Philippines, it's separate supplements and its annual published books like Homes and Tatler Dining.
- Handle monthly comparative report of advertisements local magazines
- Monitor in-house accounts and assist Account Managers in monitoring monthly sales quota
- Receive advertiser's/ media buyer's purchase orders
- Prepare and submit copy of cash advertising income report, sales achievement report, barter, sponsorship agreement and other media values to Accounting department of Tatler Philippines
- Drafts, edit and encode advertising contracts of in-house and other accounts for the final approval of Head of Sales
- Management of Sales Force
- Prepare summary of contributors (freelance expense) for advertorial pages in the supplement/s and monthly transportation allowance of Account Managers
- Prepare Regional benchmarking which shows in excel the over-all cost of the pages, special executions, supplements of the magazines and special titles in the entire year
- Coordinate constantly with the media buyers for submission of advertising materials, signing of advertisement contracts and with Circulation Department for monthly magazine allocation
- Prepare weekly and monthly sales report and proof of execution report
- Summarize monthly editorial commitments of Sales Department
- Perform other tasks that may be assigned by Immediate Superior in relation to the role.
Qualifications:
- Must possess Bachelor's degree in Business Administration, Management or equivalent
- With at least 1-year experience as Administrative Assistant or Office Admin Assistant
- Fresh graduates are welcome to apply
- Experience in Publishing is an advantage
- Proficiency in MS Office
- Knowledge in management system and procedures
- Excellent time management skills and the ability to prioritize work
- Attention to details and problem-solving skills
- Excellent written and verbal communication skills
