ABOUT THE JOB

A Sales Administrative Assistant supports the sales team by managing daily administrative tasks, organizing client information, and preparing necessary documents and reports. They help coordinate schedules, process orders, and ensure accurate communication between clients and internal teams. Their role contributes to smooth sales operations by keeping records updated, handling inquiries, and assisting in tracking sales performance.

WHAT YOU'LL DO:

  • Assist the sales team with quotations, proposals, contracts, and purchase orders.
  • Maintain accurate and up-to-date client records, contracts, and sales reports.
  • Coordinate with vendors, suppliers, and internal departments to ensure smooth order processing and delivery.
  • Handle inquiries, follow-ups, and client communications through email and phone.
  • Assist in resolving customer issues, order discrepancies, and after-sales concerns.
  • Schedule and organize meetings, sales calls, and site visits for the sales team.
  • Manage and update the masterlist or database with lead and customer information.
  • Prepare sales reports, forecasts, and performance tracking for management.
  • Monitor and track sales targets, commissions, and incentive programs.
  • Maintain and organize sales documents, agreements, and invoices.
  • Ensure compliance with construction industry regulations and internal policies.
  • Assist in preparing presentations and marketing materials.

WHO YOU ARE:

  • Bachelor's degree in Business Administration, Marketing, or a related field (fresh graduates with strong qualifications may be considered, but 3+ years of experience in a sales support, administrative, or coordination role is preferred).
  • Experience in the construction industry is an advantage.
  • Background in construction materials, project bidding, or supplier coordination is a plus.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with CRM systems and sales-related software is an advantage.
  • Ability to work independently while supporting a fast-paced sales environment.
  • Knowledge of construction procurement, invoicing, and project documentation is a plus.
