Sales & Executive Operations Coordinator - What You'll Do:
This position supports the CEO, Director of Operations, and Director of Accounts, sitting at the intersection of sales coordination, operations, and executive assistance. You'll manage communication, organize priorities, support sales processes, and keep operations running smoothly.
Responsibilities Include:
- Manage calendars - schedule times with prospects and CEO calls; schedule internal meetings
- Prepare documentation - contracts, SOWs and reports; meeting agendas
- Update Hubspot with sales activity and notes
- Maintain repository of sales conversations and business details per client
- Coordinate conversations for sales handoffs
- Support the sales process with timely and accurate client data
- Record all internal sales conversations for actions and next steps
Skills Required:
- Native/bilingual English; outstanding written and verbal communication.
- Strong with Google Suite, Slack, Trello/Asana, ChatGPT, Dropbox, and Notion.
- Maintaining clean, reliable CRM data (HubSpot or similar) to support reporting, forecasting, and leadership visibility.
- Excellent organization, time management, and detail orientation.
- Ability to create polished documents and presentations.
- Analytical ability to track KPIs and support forecasting.
- Comfortable operating independently in a fully remote environment and collaborating across time zones.
- Trusted with confidential executive and client information; exercises sound judgment and discretion at all times.
- Strong documentation and reporting skills, with the ability to create clear summaries, action items, and process documentation that enable efficient decision-making.
Experience:
- 4+ years of experience in executive support, sales operations, agency operations, or a similar coordination-focused role within a fast-paced, high-growth environment.
- Proven experience directly supporting senior leadership (CEO and department heads), including calendar management, meeting coordination, follow-ups, and prioritization of competing deadlines.
- Strong background in sales operations and coordination, including CRM management, deal tracking, activity logging, documentation of sales conversations, and coordination of sales-to-delivery handoffs.
- Experience working within a digital marketing, advertising, or professional services agency, with familiarity in client onboarding, contracts, Statements of Work (SOWs), and internal workflows.
- Demonstrated ability to manage multiple workflows simultaneously with high accuracy, organization, and attention to detail.

Salary range:$480-$960 USD per month (depending on experience)
