Position Overview
The Sales Administrator plays a central role in enabling Dual Fuel's revenue engine. This position sits at the intersection of sales, operations, marketing, and customer experience, managing the administrative, logistical, and coordination workflows that allow the sales team to focus on closing business and delivering exceptional service.
The ideal candidate is highly organized, detail-oriented, and comfortable operating in a fast-paced, multi-division environment supporting service agreements, controls, and installation projects.
Key Responsibilities
Cross-Departmental Coordination
- Serve as the operational liaison between the Sales team and core service divisions, ensuring seamless customer handoffs and consistent communication across departments.
Service Department
- Coordinate new service agreement customer handoffs to the Service team.
- Support survey and building data collection for prospective service agreement customers.
Controls Team
- Manage new customer handoffs to the Controls team.
- Coordinate job setup, pricing documentation, and rebate tracking.
- Maintain accurate records for all deal transitions.
Installation Team
- Facilitate new installation project handoffs to the Installation team.
- Ensure all deal folders, contract documents, drawings, and related documentation are complete and accessible prior to handoff.
Event & Administrative Support
- Coordinate conference and trade show booth logistics from planning through completion.
- Source and procure booth equipment and promotional materials.
- Coordinate with vendors for setup, shipping, and on-site logistics.
- Support on-site booth setup and breakdown as needed.
Lead Intake & Prospect Qualification
- Create new deal records in HubSpot CRM across multiple business lines.
- Ensure deal data is complete, accurate, and up to date.
- Create and organize Google Drive deal folders using consistent naming conventions.
- Maintain contracts, drawings, proposals, and supporting documentation.
- Research building information using public databases and zoning resources.
- Retrieve and review boiler records through applicable regulatory portals.
Proposal Development Support
- Determine customer rebate eligibility in coordination with the Controls team and applicable utility programs.
- Assist in drafting and formatting proposals for controls and service agreements.
- Compile supporting documentation and proposal attachments.
Post-Sale Setup & Customer Onboarding
- Collect and process customer onboarding forms.
- Pre-populate customer and building information to streamline onboarding.
- Draft and send agreement kickoff emails, including:
- Welcome message and introduction to the team.
- Next steps and onboarding timeline.
- Countersigned agreement and supporting documents.
Marketing Support
- Generate and maintain target lists for email marketing campaigns using HubSpot and other lead sources.
- Segment marketing lists by building type, location, service line, or campaign objective.
- Maintain marketing contact lists, ensuring data accuracy, removing duplicates, and managing opt-outs.
- Support networking events and email campaigns in collaboration with Sales and Marketing.
- Maintain campaign documentation and reusable target lists for future outreach.
Qualifications
Required
- Minimum 2 years of experience in an administrative, operations coordinator, or sales support role, preferably within construction, MEP, real estate, or a related industry.
- Experience using HubSpot CRM or a comparable CRM platform.
- Proficiency with Google Workspace (Drive, Docs, Sheets, Gmail, and Calendar).
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities across departments with minimal supervision.
- Excellent written and verbal communication skills.
