Job Description

We are seeking a detail-oriented and proactive Sales Admin Specialist to join our team. This role is crucial for providing comprehensive administrative and logistical support to our sales team, ensuring smooth customer operations from order to delivery. The ideal candidate will be an excellent communicator and a reliable liaison between sales and various support departments.

Key Responsibilities:

  • Customer & Sales Order Management: Manage the end-to-end sales order process, including customer onboarding, master data creation in SAP, order processing, and ensuring timely fulfillment.
  • Logistics & Delivery Coordination: Facilitate daily delivery schedules and truck assignments, acting as the primary point of contact with the logistics/operation department to monitor deliveries and address any issues.
  • Inter-Departmental Liaison: Serve as a key link between the sales team and other internal groups, coordinating with:
  • Logistics for delivery requirements and truck tracking.
  • Credit for sales order approvals and release.
  • Fund Management for payment and remittance confirmation.
  • Operations to resolve loading and sampling concerns.
  • Laboratory for product testing and quality certificate generation.
  • Customer Support & Issue Resolution: Provide essential backend support to the sales team, handling customer inquiries and complaints related to deliveries, product quality, or other related incidents. This includes documenting issues, coordinating with relevant departments, and monitoring the resolution process.
  • Administrative & Reporting: Maintain and monitor all sales-related documentation, including delivery receipts and customer records. Administer all government reporting requirements accurately and on time. This role includes providing support for sales order concerns during nights and weekends as required.

Qualifications & Requirements

  • Bachelor's degree in Marketing, Business Administration, or a related field.
  • Proven experience in a sales support or administrative role.
  • Strong proficiency in SAP and Microsoft Office applications (Word, Excel, PowerPoint).
  • Exceptional communication and interpersonal skills, with a positive and customer-focused attitude.
  • Ability to multitask and thrive in a fast-paced environment.
  • High level of reliability and a strong sense of responsibility.
  • Willingness to work a flexible and shifting schedule, including nights and weekends.
