Job Description

ACMobility is looking for a Sales Admin Assistant to support the Sales and Network Development team of KP Motors Corporation by ensuring the smooth, accurate, and timely execution of sales administration and coordination activities.

The role is responsible for monitoring inventory, processing dealer orders, preparing required sales documentation, and coordinating closely with Finance, Logistics, Product, and third‑party partners. This position supports wholesale operations, dealer readiness, and operational efficiency while ensuring compliance with internal controls and established processes.

Roles And Responsibilities

  • Monitor and update inventory master files at both distributor and dealership levels
  • Track dealer orders through the ordering portal and ensure completeness of supporting purchase orders and payment requirements
  • Allocate units to dealers and prepare pro‑forma invoices and Authorities to Release (ATR)
  • Coordinate with Finance for wholesale invoicing validation, approval, and reporting
  • Coordinate with Logistics for unit preparation, delivery scheduling, and vehicle pullout activities
  • Communicate regularly with dealers regarding unit allocation, delivery status, and documentation requirements
  • Process Certificate of Stock Reports (CSRs) and coordinate requirements with Product, Importation, and third‑party service providers
  • Safekeep CSRs and ensure accurate and timely distribution to dealers
  • Prepare and monitor accrued expenses such as subsidy claim‑backs and sales incentives
  • Maintain accurate monitoring reports for processed claims, incentives, and wholesale transactions
  • Act as petty cash custodian and ensure accurate recording, reimbursement, and liquidation
  • Provide administrative support for special projects and sales initiatives as assigned

Qualifications

  • College degree in business administration or a related field
  • Experience in office administration, sales administration, or business operations preferred
  • Valid driver's license
  • Strong attention to detail and ability to manage multiple transactions and reports
  • Good coordination and communication skills
  • Proficiency in basic office applications and reporting tools
