Job Summary
The Sales Administrative Assistant provides administrative, analytical, and clerical support to the Sales Department to ensure efficient sales operations. The role includes sales documentation, basic accounting support, sales analysis, reporting, and assistance in sales events, programs, and field activities.
Duties And Responsibilities
Sales Administrative and Documentation Support
- Prepare, organize, and maintain sales documents, contracts, reports, and records.
- Assist in monitoring sales transactions, invoices, delivery receipts, and collections.
- Coordinate with sales personnel and other departments on sales-related concerns.
Sales Reporting and Analysis
- Encode, update, and maintain sales data using computer applications and MS Office tools.
- Assist in preparing sales summaries, performance reports, and basic sales analysis (e.g., sales trends, comparisons, and variances).
- Support the Sales Team in analyzing sales performance against targets and programs.
Basic Accounting Support
- Assist in basic accounting tasks such as sales recording, collection monitoring, and expense documentation.
- Support the preparation of simple financial and sales-related reports.
Sales Events, Programs, and Activities
- Assist in the planning, coordination, and execution of sales events, promotions, and programs.
- Provide on-site administrative and logistical support during sales activities when required.
Coordination and Organization
- Organize schedules, meetings, and sales-related activities.
- Ensure timely and accurate submission of reports and documents.
Fieldwork and Travel
- Willing to travel and assist in field sales activities or branch visits as needed.
Work Schedule Flexibility
- Willing to work on Sundays, holidays, or extended hours when required for sales events and company activities.
Other Duties
- Perform other sales and administrative support tasks as assigned by the Sales Supervisor or Manager.
Qualifications
- Graduate of any business-related course or equivalent work experience.
- With experience or background in sales analysis and reporting.
- Knowledgeable in computer applications, particularly MS Word and MS Excel.
- With basic knowledge of accounting principles.
- Highly organized, detail-oriented, and able to multitask.
- Willing to assist in sales events, programs, and activities.
- Willing to travel and work on weekends or holidays if required.
- Good communication, coordination, and analytical skills.
