The Reservations Universal Agent provides friendly, professional, and detailed assistance to customers throughout the travel booking and vacation experience. This position is a flexible, multi-skilled role that may handle Sales, Service, digital interactions, and other assigned functions based on business needs and customer contact volume. The agent is expected to quickly adapt to each interaction, maintain a strong sales mindset, and provide a consistently positive customer experience while working across different types of customer needs and assignments.
Roles & Responsibilities
- Handle a high volume of customer interactions across assigned channels, including inbound calls, messaging platforms, and other supported communication channels.
- Warmly welcome and listen to new passengers by introducing them to Gate 1 Travel, assessing their needs, and guiding them toward tour packages, destinations, airfare, and other travel options that lead to a memorable travel experience. Clearly explain, in easy-to-understand terms, the value of travel protection and the Cancel For Any Reason (CFAR) waiver.
- Listen actively to customers, assess their needs, and provide appropriate sales, service, and travel-related support.
- Maintain a strong sales mindset and identify appropriate opportunities to recommend and sell Gate 1 Travel products and services.
- Build rapport quickly with customers, provide appropriate recommendations, and create accurate reservations with all booking details correctly documented and confirmed.
- Present tour features and benefits in an engaging manner and identify appropriate opportunities to upsell and cross-sell, upgrades, excursions, and other available products or services.
- Support existing customers and travel agents with reservation modifications, itinerary updates, cancellations, and travel-related inquiries.
- Respond to questions regarding flights, hotels, car rentals, optional tours, travel documents, website navigation, and other travel services.
- Resolve customer concerns accurately and efficiently while adhering to established company policies, procedures, authorization levels, and training
- Deliver a consistently positive customer experience through professionalism, empathy, patience, active listening, and sound judgment.
- Build and maintain positive customer relationships by providing exceptional service throughout every interaction.
- Accurately document customer interactions, reservation activities, transactions, and other required information within company systems.
- Efficiently navigate multiple systems, applications, and screens while maintaining accuracy and a high level of customer engagement.
- Maintain current knowledge of company products, destinations, travel policies, procedures, systems, and operational processes.
- Safeguard customer information by adhering to data privacy, confidentiality, and security requirements
- Transition seamlessly between Sales, Service, digital channels, and other assigned functions based on business needs, customer contact volume, staffing requirements, and operational priorities.
- Adapt quickly to each interaction by listening to the customer, understanding their needs, and providing the appropriate sales, service, or other support.
- Demonstrate flexibility by transitioning between queues, customer interaction types, and functional responsibilities as business demands require.
- Initially support core Reservations Sales and Service functions and other designated customer contact channels, with opportunities to receive additional training and support other functions as experience and proficiency are demonstrated.
- Perform additional customer-facing and operational functions as assigned and for which appropriate training and authorization have been provided.
- Participate in cross-training initiatives and maintain proficiency across assigned skills, systems, products, and functions.
- Attend training sessions, coaching meetings, calibration activities, and ongoing learning programs to enhance knowledge and performance.
- Continuously develop product knowledge and industry expertise to effectively support customer needs and business objectives.
- Meet and exceed established performance metrics related to customer experience, quality, productivity, accuracy, sales performance, compliance, and other key performance indicators (KPIs).
- Perform other duties and responsibilities as assigned by the reporting manager or management team.
Preferred Skills
- Previous experience in the travel, tourism, hospitality, or airline industry is highly preferred.
- Valid TICO (Travel Industry Council of Ontario) certification is an advantage but not required.
- Familiarity with a Global Distribution System (GDS), particularly Amadeus, is preferred.

Qualifications & Experience
- Must be at least a High School Graduate or Senior High School Graduate (K-12 curriculum), or equivalent. An Associate or Bachelor's degree is preferred but not required.
- Must have a minimum of 2 years of experience in a travel, hospitality, tourism, or sales-focused call center environment required; experience specifically in travel reservations, bookings, or travel sales is preferred.
