Remote Executive + Legal Administrative Assistant (Clio, Calendaring, Attorney Workflow)

Work Hours: Monday to Friday, 8:00 AM to 5:00 PM Pacific Time, with a 1-hour break

Job Overview:
We are seeking a highly organized and proactive Remote Executive + Administrative Assistant to support a fast-paced legal team by managing executive and personal priorities for the Managing Partner while also providing administrative and operational support across the firm. This role focuses on calendar and deadline management, workflow coordination, inbox and communication support, and maintaining accurate matters, tasks, and billing workflows in Clio. The ideal candidate is detail-oriented, reliable, and comfortable balancing shifting priorities while keeping executives and attorneys organized, informed, and on schedule in a remote environment.
Key Responsibilities:
Executive + Personal Support
- Manage the Managing Partner's calendar, including scheduling, confirmations, reminders, priority planning, and personal/family obligations
- Coordinate personal logistics such as appointments, travel planning, reservations, and vendor coordination
- Draft and send emails and messages; track responses and follow up as needed
- Organize inbox priorities and handle confidential information with discretion
Firm Operations + Legal Administrative Support
- Maintain firm and attorney calendars and deadlines
- Update matters, tasks, notes, and contacts in Clio to ensure workflows remain accurate and current
- Assist with billing coordination in Clio, including time entry tracking and task follow-ups
- Attend meetings and calls, take detailed notes, and convert them into actionable task lists
- Track assignments across the team and follow through to completion
- Support document preparation, including formatting, templates, and correspondence drafts
Required Skills & Qualifications:
- Minimum of 2 years experience as a Remote Administrative Assistant, Executive Assistant, or Office Coordinator
- Strong calendaring and scheduling skills across multiple calendars with shifting priorities
- Excellent written communication, proofreading skills, and attention to detail
- Comfort with Clio, Google Workspace, Microsoft Office, Zoom/Teams, Monday.com, and the ability to learn new systems quickly
- Reliable availability during PST business hours
