As a
Payroll & Accounts Payable Specialist, you are the dual-engine of financial operations. This role is designed for a detail-oriented expert who can navigate the complexities of multi-company payroll and vendor management with absolute precision. Working directly with the Director of Finance, you will play a pivotal role in the monthly close process, ensuring that both our people and our partners are paid accurately and on time, every time.
Your Impact
- Payroll Processing Expert: Take full ownership of bi-weekly payroll for assigned companies using ADP. You will manage the entire lifecycle-from calculating retro payments and bonuses to verifying PTO, sick leave, and holiday pay. You'll also ensure 401k contributions and match information are transmitted accurately to providers.
- Master of Accounts Payable: Navigate a complex multi-company environment by entering, posting, and paying invoices and claims. You will manage vendor relationships, reconcile monthly statements to resolve discrepancies, and maintain the integrity of intercompany entries and 1099 reporting.
- Strategic Financial Support: Assist the Director of Finance with the monthly close process, including posting journal entries and exporting financial reports. You will also contribute to the annual budgeting process and take on special projects using advanced Excel and QuickBooks.
- Operational Excellence: Maintain an impeccably organized electronic filing system for both payroll and AP records. Whether you are processing payments via Wire, ACH, or Check, or tracking company credit card transactions, your work ensures the organization's financial value is protected through strict internal approval and audit-ready documentation.
What You Bring
- Technical Mastery: Demonstrated proficiency in ADP Payroll Processing and QuickBooks Desktop. You have a strong command of Microsoft Office applications, particularly Excel, and ideally experience with Power BI.
- Core Competencies: Exceptional attention to detail and the ability to meet tight deadlines in a high-productivity environment. You are an effective communicator who can handle sensitive employee inquiries with professionalism and confidentiality.
- The Mindset: A self-starter who can eventually process payroll independently. You exercise good judgment, apply active listening skills, and maintain a professional composure while managing multiple priorities for global stakeholders.
