Job Description

The Registration Officer for Data Processing serves as the primary liaison between the University and government agencies (CHED, PRC, CSC) to ensure full regulatory compliance and timely submission of enrollment, graduation, and Certification reports. The position also assists in maintaining data integrity, generating reports, and providing accurate academic and administrative data to internal and external stakeholders.

Main Duties And Responsibilities

  • Liaison
  • Coordinates with CHED, PRC, CSC, and other government agencies or offices in order to promptly:
    • Secure information for, guidelines on, procedures of policy and compliance with regulation requirements
    • Generates and submits compliance requirements on enrollment and graduation
      • Notarized list of Graduates to PRC
      • Honors Graduates to Civil Service Commission
      • NSTP completion with serial number
    • Coordinates with administrative offices regarding preparation and submission of CHED reports
    • Submits and follows-up Certification, Authentication, and Verification (CAV) requests
      • Endorsement letter from the Registrar
      • Transcript of Records and Diploma for graduated students Transcript of Records and certificate of enrollment for undergraduate students
      • Prepares CAV Processing Form and CAV claim stubs to be releases to students
    • Relays university inquiries to CHED, as needed:
      • Curricular matters
      • CHED policies and guidelines pertaining to a degree, course or requirements and others
  • Oversees proper implementation of special projects as may be assigned from time to time, such as (but not limited to):
    • Accurate and prompt report generation, SQL queries/scripts, running of AISIS modules
    • Ensures integrity of the database by maintaining/updating AISIS modules
      • Degree Maintenance module
      • Professor Maintenance module
      • Subject Maintenance
      • Room Maintenance
      • AISIS Dates Maintenance
  • Assists in:
    • Checking Course Description
    • Cancellation of (Void) Transcript Serial Number
    • Monitoring of Minor/Specialization prior to printing of Transcripts
    • Printing of Transcript of Records of candidates for graduation
    • Training/orienting members of the Documents team on:
      • Use of AISIS modules
      • Compliance procedures, regulations, and generally, the liaising work with government offices/agencies
  • Attends to data requests of different departments, offices, student organizations, companies, and other non-Ateneo clients such as but not limited to the following:
    • Semestral Honors
    • Enrollment Data
    • Number/list of graduates
    • Batch ranking
    • Honors list
    • Students with their Cumulative QPI
    • Honorably Dismissed Students
    • Report on submission of grades
II. Administrative Support

  • Contributes to the regular process of reviewing office processes, systems, and/or procedures that will improve the team's efficiency and service level to the community
  • Participates in and is accountable to one's own performance planning, evaluation, and development

III. Performs other work-related tasks as may be required by the immediate supervisor and any authorized representative

Education And Experience Requirements

  • Bachelor's Degree in any field with at least 2 years of work experience
  • Experience in the academe and data processing is an advantage
