Salary Budget: 50,000 - 55,000

About the Role

This role serves as the operational right hand to Acclime's Regional Partnerships and Key Account function, supporting the day-to-day execution of a high-visibility commercial portfolio across Asia-Pacific. As the partnerships network and key account base continue to scale across 20 markets, our team requires a trusted, highly organized, and commercially aware coordinator to ensure partner relationships, client engagements, and referral pipelines are consistently managed, tracked, and progressed in a structure and efficient manner.

You will play a central role in supporting both the Head of Partnerships and the Regional Key Account Manager, ensuring that inbound and outbound referrals are seamlessly coordinated and accurately maintained in HubSpot. You will support pipeline integrity by ensuring data is kept up to date, facilitating smooth internal coordination across country teams, and maintaining visibility across stakeholders.

This role carries a strong operational and analytical focus, with responsibilities spanning pipeline tracking, performance monitoring, and reporting. You will translate referral and pipeline data into clear, actionable insights through regular reporting, helping to drive internal alignment and informed decision-making.

The position is primarily focused on coordination, process management, and data accuracy, rather than partner acquisition or commercial negotiations.

Key Responsibilities:

Partnerships & Referral

  • Support the coordination of incoming referrals from partners
  • Maintain and manage a centralized lead tracker in our CRM system
  • Assist in routing leads to the relevant country teams in a timely manner
  • Monitor lead progress and ensure updates are consistently maintained
  • Proactively follow up with internal teams to support timely responses and minimis delays

Regional key Account Management

  • Provide coordination support for selected regional key accounts
  • Coordinate across multiple countries (e.g., Singapore, Vietnam, Indonesia) to ensure smooth delivery
  • Maintain consistency in communication and ensure timely responses to clients
  • Support regular client touchpoints through scheduling, follow-ups, and documentation
  • Identify opportunities for cross-selling or additional services

Reporting & Dashboard Management

  • Maintain and update Power BI dashboards and Excel trackers across all four growth pillars (KAM, Partnerships, Upselling, Cross-Selling) on a weekly basis
  • Monitor inbound and outbound referrals across strategic and referral partners.
  • Prepare monthly performance reports and country scorecards — populating, formatting, and distributing on time without prompting
  • Prepare and circulate fortnightly referral reports for referral partners covering inbound and outbound volumes, status changes, and outcomes.
  • Maintain the group-wide KPI tracker, flagging variances against targets early
  • Keep the fee increase tracker updated across all markets, recording client acceptances and phase completion status
  • Support cross-sell and upsell commission tracking in HubSpot ahead of monthly payroll cycles
  • Support the Head of Strategic Partnerships with referral summaries, internal updates, and dashboards and maintain simple trackers and documentation to support consistency across markets

Presentations & Communications

  • Build and format PowerPoint presentations to Acclime brand standards (navy, teal, Calibri — clean and executive-ready)
  • Turn the Group Director's bullet points or rough structure into polished, well-designed decks
  • Update recurring decks — SteerCo reviews, monthly leadership updates, pillar progress reports — with fresh data each cycle
  • Draft routine internal communications, reminders, and follow-ups on behalf of the Group Directors
  • Manage version control and file organization for all presentation and document outputs

Meeting & Governance

  • Coordinate scheduling for SteerCo meetings across all four pillars — managing diaries across multiple time zones
  • Prepare agendas, take structured minutes, and maintain the group action log
  • Follow up with pillar leads on outstanding actions before each meeting and escalate overdue items to the Group Director
  • Maintain a centralized repository of SOPs, playbooks, and process documentation — organized, version-controlled, and accessible

CRM & Data Hygiene

  • Run weekly HubSpot data quality checks — completeness, tagging, deal stages, and attribution fields
  • Identify and flag gaps or inconsistencies across CRM and Agility (client data platform) with proposed fixes
  • Support pillar leads in ensuring their HubSpot pipelines and commission tracking fields are correctly logged
  • Keep client tier lists updated as changes are approved by the Group Director

Research & AdHoc Support

  • Handle ad hoc research requests — competitor benchmarks, market data, industry reports — and summaries findings into concise, exec-ready briefs
  • Prepare background packs ahead of the Group Director's country visits, external meetings, and leadership sessions
  • Support onboarding of new pillar team members with system access, documentation, and orientation materials
  • Take on additional operational and coordination tasks as the function grows

Qualifications:

Experience: 2–4 years in an operations, coordination, business support, or analyst role — professional services or B2B preferred

Excel: Solid proficiency — pivot tables, data cleaning. Non-negotiable.

PowerPoint: Confident building clean, well-structured presentations. Brand discipline matters.

Power BI: Working knowledge or genuine willingness to develop quickly (training provided).

HubSpot: Prior experience is a strong advantage. Must be comfortable learning CRM workflows.

Attention to detail: You catch errors others miss. Data accuracy is a point of pride, not a chore.

Organization: You manage multiple workstreams simultaneously without dropping the ball.

Communication: Strong written English. You'll interact regularly with senior stakeholders across APAC.

Independence: Comfortable working remotely with minimal supervision. Proactive, not reactive.

Commercial awareness: Exposure to metrics like ACV, churn, or pipeline is a plus —not required.

What Success Looks Like InYear One

  • All four pillar dashboards are updated accurately and on schedule each week, proactively and without follow-up.
  • Referral opportunities to and from partners are tracked meticulously, enabling accurate commission reporting and collection for outbound referrals.
  • Presentations are delivered with flawless formatting and full adherence to brand guidelines.
  • SteerCo meetings are executed efficiently, with agendas, minutes, and action items managed accurately and no follow-ups overlooked.
  • HubSpot data quality is consistently maintained above 90% across all key commercial data fields.
  • Administrative, coordination, formatting, and data management tasks are handled seamlessly, allowing the Group Director to focus entirely on strategic priorities.
