The Recruitment Coordinator provides end-to-end coordination and administrative support throughout the recruitment and onboarding process. This role is responsible for class building, candidate follow-ups, pre-employment requirements monitoring, back-end recruitment processing, and maintaining accurate and up-to-date recruitment records.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable coordinating with candidates and multiple internal departments to ensure candidates move smoothly and efficiently through the hiring and onboarding process.
Key Responsibilities
Recruitment & Candidate Coordination
- Support candidate sourcing activities through job portals, databases, referrals, and other recruitment channels.
- Conduct initial paper screening of candidates based on established hiring requirements.
- Conduct candidate follow-up and keep-warm calls to maintain candidate engagement throughout the recruitment process.
- Coordinate with candidates regarding interview schedules, requirements, offers, onboarding activities, and other recruitment-related concerns.
- Monitor candidate progress and proactively follow up on outstanding action items.
- Assist recruiters in managing candidate pipelines and ensuring timely movement of candidates through the recruitment process.
Class Building & Onboarding
- Lead and support class building activities to ensure hiring targets and onboarding requirements are met.
- Monitor the completion and submission of pre-employment requirements.
- Maintain accurate tracking of candidate requirements and onboarding status.
- Conduct follow-up calls and communications with candidates who have pending or incomplete requirements.
- Coordinate with HR, Operations, Training, Compliance, IT, and other relevant departments to verify the status of candidate onboarding items.
- Escalate delays, issues, or potential risks that may impact a candidate's start date.
- Ensure candidates receive timely updates and clear instructions throughout the onboarding process.
Recruitment Administration & Back-End Processing
- Facilitate back-end recruitment processing, including preparation and coordination of job offers and onboarding documentation.
- Post jobs on LinkedIn and other job sites.
- Support the recruitment team in maintaining accurate and updated job requisition records.
- Ensure job requisition hygiene, including updating candidate statuses, dispositioning candidates, maintaining accurate requisition data, and closing or updating requisitions as appropriate.
- Maintain accurate recruitment trackers, reports, and candidate records.
- Assist in generating recruitment reports and monitoring hiring progress against targets.
- Ensure all recruitment documentation and records are complete, accurate, and properly maintained.
Candidate Experience
- Maintain professional and timely communication with candidates throughout the recruitment and onboarding process.
- Build positive relationships with candidates through regular follow-ups and engagement.
- Identify potential candidate drop-off risks and proactively address concerns.
- Help ensure a smooth and positive candidate experience from application through onboarding.
Qualifications & Skills
- Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field preferred.
- At least 1 year of Experience in recruitment coordination, talent acquisition, HR administration, or a similar role.
- Strong organizational and administrative skills with exceptional attention to detail.
- Strong follow-up and coordination skills.
- Comfortable communicating with candidates through phone, email, chat, and virtual platforms.
- Ability to coordinate effectively with multiple departments and stakeholders.
- Proficient in Microsoft Excel, including maintaining trackers, sorting/filtering data, and basic reporting.
- Proficient in Microsoft Outlook, Microsoft Teams, Word, PowerPoint, and other Microsoft Office applications.
- Ability to manage multiple priorities and deadlines in a fast-paced recruitment environment.
- Strong problem-solving and communication skills.
- Proactive, dependable, and able to work with minimal supervision.
Experience supporting high-volume or contact center recruitment is an advantage.
