Key Responsibilities
Candidate Coordination
- Schedule and confirm interviews with candidates and hiring managers across multiple US time zones.
- Provide candidates with interview details, preparation materials, and follow-up communication.
- Ensure timely updates to candidates throughout the recruitment cycle.
Recruitment Support
- Assist recruiters with sourcing, screening, and shortlisting candidates.
- Maintain and update candidate records in the ATS (Applicant Tracking System).
- Conduct initial outreach via email, phone, or messaging platforms.
Administrative Support
- Manage job postings across job boards and internal platforms.
- Track and monitor recruitment metrics, dashboards, and reports.
- Prepare weekly or monthly recruitment status updates for the US team.
Client & Stakeholder Communication
- Coordinate closely with US Account Managers, Recruiters, and Hiring Managers.
- Ensure alignment on interview schedules, job requirements, and candidate status.
- Respond promptly to internal and external inquiries.
Compliance & Documentation
- Ensure all candidate documentation and interview records are complete and compliant.
- Maintain confidentiality of candidate and client information.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Psychology, or related field preferred.
- 13 years of experience as a Talent Coordinator, Recruitment Assistant, HR Assistant, or similar role.
- Recruitment experience in an RPO or BPO environment is a plus.
- Familiarity with ATS platforms (Greenhouse, iCIMS, Workday, Bullhorn, etc.).
- Excellent communication skills (written and verbal), especially with US stakeholders.
- Strong organizational and multitasking abilities.
- Ability to work flexible hours to support US time zones.
- High attention to detail and strong follow-through.
Work schedule: Night shift
Work setup: Hybrid (3x RTO per week)
Work location: Eastwood QC
Contract duration: 5 months (Start in January/February 2026)
