Job Description

The Talent Coordinator plays a key support role within the Talent Acquisition team, ensuring a smooth and positive experience for candidates and hiring managers throughout the recruitment process. This role is responsible for coordinating interview logistics, maintaining accurate recruitment records, and supporting onboarding activities. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple moving parts in a fast-paced, deadline-driven environment. This role is well suited to a candidate with 1-3 years of experience in HR, recruitment coordination, or administrative support who is looking to grow their career in talent acquisition.

Key Responsibilities

Interview Coordination & Scheduling

  • Schedule and coordinate interviews between candidates, hiring managers, and interview panels across multiple time zones as needed.
  • Manage calendar logistics, room bookings, and video conferencing setup for interviews.
  • Communicate interview details, updates, and rescheduling promptly and professionally to all parties.
  • Track interview status and follow up to ensure timely feedback from hiring managers and interviewers.

Candidate Experience & Communication

  • Serve as a primary point of contact for candidates throughout the interview process, providing timely updates and answering questions.
  • Ensure candidates have a positive, professional experience from initial contact through offer stage.
  • Coordinate travel and expense arrangements for candidates when required.
  • Send interview confirmations, preparation materials, and follow-up communications.

Recruitment Administration & ATS Support

  • Maintain accurate and up-to-date candidate records within the applicant tracking system (ATS).
  • Post and update job requisitions across job boards and careers pages.
  • Prepare offer letters, background check requests, and other recruitment documentation.
  • Generate recruitment reports and metrics (e.g., time-to-fill, interview-to-offer ratio) for the Talent Acquisition team.

Onboarding Support

  • Coordinate new hire onboarding activities, including paperwork, orientation scheduling, and system access requests.
  • Partner with HR and IT teams to ensure new hires have a smooth first-day and first-week experience.
  • Track onboarding completion and follow up on outstanding new hire documentation.

Cross-Functional Collaboration

  • Partner closely with recruiters, hiring managers, and HR business partners to support hiring needs.
  • Assist with employer branding activities, such as career fairs, campus events, and social media postings.
  • Support process improvement initiatives to enhance recruitment efficiency and candidate experience.

Qualifications & Requirements

Education

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent practical experience will be considered.

Experience

  • 1-3 years of experience in recruitment coordination, HR administration, or a related administrative support role.
  • Experience scheduling high-volume interviews across multiple stakeholders and time zones is a plus.
  • Experience in staffing, consulting, or professional services industries is a plus.

Technical Skills

  • Proficiency with applicant tracking systems (ATS) and HRIS platforms.
  • Strong Microsoft Office / Google Workspace skills, including calendar management tools.
  • Familiarity with video conferencing platforms (e.g., Zoom, Microsoft Teams) for interview coordination.
  • Comfortable working with data entry, reporting, and basic recruitment metrics.

Work Schedule: Night Shift

Work Type: 12 months (w/ high chance of extension based on performance)

Work Setup: 6 months onsite then will transition to hybrid (2-3x onsite/week)

Work Location: UP Techno Hub Quezon City
