About the Role
We are seeking an experienced and highly organised Recruitment Administrator / Mobilisation Coordinator to support our Australian mining and labour hire operations. This role will be responsible for recruitment administration, candidate shortlisting, CV formatting, job advertising, and coordinating mobilisation activities to ensure candidates are fully compliant and mobilised in line with client and site requirements. The successful candidate will thrive in a fast-paced environment, have exceptional attention to detail, and possess prior experience supporting high-volume recruitment and mobilisation functions.
Key Responsibilities
Recruitment Support
- Manage candidate workflows through JobAdder, including screening, shortlisting, and database maintenance
- Format and tailor candidate CVs/profiles for client submission
- Draft, post, and manage job advertisements across Facebook, job boards, and social platforms
- Maintain accurate and up-to-date recruitment records within ATS/CRM systems
Mobilisation & Compliance
- Coordinate end-to-end mobilisation of candidates for site-based and labour hire placements • Book and manage pre-employment medicals, inductions, drug and alcohol testing, police checks, VOCs, and other compliance requirements
- Ensure all mobilisation documentation is collected, verified, and compliant prior to deployment
- Liaise with candidates, clients, recruiters, and site contacts regarding onboarding and mobilisation requirements
- Coordinate travel, accommodation, transport, and roster arrangements as required
- Monitor mobilisation schedules and proactively manage deadlines to ensure workforce readiness
Administration & Reporting
- Maintain mobilisation trackers, compliance registers, and workforce databases
- Provide regular updates to internal stakeholders regarding mobilisation progress and candidate readiness
- Support process improvements across recruitment and mobilisation workflows
- Ensure all activities align with WHS, client, and legislative requirements
