Recruitment Administrator – Document & ATS Management (₱40K | Onsite | FREE AI Certification)

Cebu City | Onsite | 8:00 AM–5:00 PM | Monday–Friday

You own the integrity and flow of recruitment data, ensuring that every candidate profile, contract, and report meets precise delivery standards before reaching consultants or clients. Your work centers on high-volume document formatting, compliance auditing within Bullhorn, and the technical execution of sourcing strings and job postings.

This is not a general HR or sourcing role. You operate within a highly structured offshore delivery model where accuracy in administrative outputs is the primary measure of success. Best suited for professionals who find satisfaction in technical precision, excel at managing competing data priorities, and prefer clear, documented workflows over ambiguous tasks.

You're Likely a Strong Fit If You Have

  • 3–4 years of experience in general administration with a heavy focus on document formatting and data management.
  • Hands-on experience managing ATS/CRM databases (specifically Bullhorn is a plus) and LinkedIn Recruiter.
  • Advanced proficiency in MS Office (Excel, Word, Publisher) and Adobe Acrobat DC for complex PDF editing.
  • Proven ability to build Boolean search strings and manage large-scale data collation for KPI reporting.
  • Willingness to work 8:00 AM–5:00 PM in an onsite environment and comply with all documentation standards.

Strong Signals

  • Previous experience supporting Australian or international recruitment firms.
  • High proficiency in SharePoint and LinkedIn project management.
  • Experience generating and interpreting monthly recruitment statistics/KPIs.

Responsibility Pillars

Document Control & Formatting

You own the professional presentation of all candidate and client-facing materials, ensuring zero errors in branding and data accuracy.

  • Format and edit CVs provided by consultants to meet brand standards.
  • Manage and process candidate requirements including contracts, invoices, and T&S agreements.
  • Execute professional PDF edits and document conversions.

ATS & Compliance Management

You act as the gatekeeper of the Bullhorn database, ensuring all information is searchable, coded correctly, and fully compliant.

  • Add and code candidates to the Bullhorn tracking system.
  • Audit candidate files for compliance and upload essential documentation.
  • Generate specific reports and data extracts upon request.

Sourcing & Market Coordination

You manage the technical execution of market outreach, enabling consultants to focus on candidate engagement.

  • Build and execute Boolean searches for niche roles.
  • Post job advertisements from the client website to LinkedIn and external boards.
  • Create and maintain business development lists and Excel spreadsheets from LinkedIn projects.
