Role Description The Records Management Manager is a full-time, on-site role based in the National Capital Region, Philippines. This role oversees the design, implementation, and continuous improvement of AIM's records management policies, procedures, and systems, ensuring compliance with institutional, legal, and accreditation requirements. The Records Management Manager manages the lifecycle of academic and administrative records, including classification, retention, secure storage, access, and disposition, both in physical and digital formats. Day-to-day responsibilities include supervising records staff, coordinating with academic and administrative units on records requests, maintaining data integrity within records systems, and supporting audits, reporting, and accreditation-related documentation. The role also involves leading initiatives in digitization, records security, privacy, and process optimization to enhance efficiency and information governance across the Institute.
Qualifications
- Strong records and information management skills, including records lifecycle management, classification, retention scheduling, and archival practices.
- Proficiency with document and records management systems, databases, and digital archiving tools, with an understanding of data privacy and information security principles.
- Knowledge of regulatory, compliance, and accreditation requirements relevant to higher education, especially in the Philippine and international contexts.
- Experience in process analysis and improvement, policy development, and implementation of standard operating procedures for records management.
- Demonstrated leadership and supervisory skills, including team coordination, workload prioritization, and staff development.
- Strong communication and stakeholder management skills, with the ability to collaborate effectively with faculty, administrators, and external partners.
- High attention to detail, analytical thinking, and organizational skills, with the ability to manage multiple projects and deadlines.
- Bachelor's degree in Library and Information Science, Records Management, Business Administration, or a related field; a master's degree or relevant professional certification (e.g., records management, information governance) is an advantage.
