Schedule: Monday–Friday, 8:30 AM – 5:30 PM EST

Work Modality: On‑site

Language Requirement:C1–C2 English ( minimal accent required)

About the Role

We are seeking a high‑energy, highly responsive Receptionist / Legal Assistant to serve as the front line of client communications. This role is critical to ensuring smooth daily operations for attorneys and paralegals by managing calls, emails, scheduling, and light administrative and document tasks.

This position requires exceptional English communication, strong attention to detail, and a proactive, upbeat personality. Candidates must thrive in a fast‑paced, professional environment and take pride in delivering excellent service.

Key Responsibilities

Client Communication & Front Desk

  • Serve as the primary point of contact for incoming phone calls and general inbox inquiries.
  • Answer, triage, and route multi‑line phone calls professionally and efficiently.
  • Greet clients virtually or in‑office (as applicable) with courtesy and professionalism.

Calendar & Scheduling Management

  • Manage calendars for attorneys and paralegals.
  • Schedule client calls, meetings, and key dates.
  • Coordinate Zoom meetings and send reminders as needed.

Administrative & Document Support

  • Maintain well‑organized digital files and matter records.
  • Assist with basic document preparation, intake forms, and checklist updates.
  • Support administrative workflows including data entry, correspondence, mail scanning, and e‑filing support (as directed).
  • Safeguard confidentiality and handle sensitive information with discretion at all times.

Team Collaboration

  • Work closely with attorneys, paralegals, clients, lenders, brokers, and third parties to ensure timely follow‑through on matters.
  • Communicate clearly and proactively to prevent delays or miscommunication.

Qualifications

Required

  • C1 or C2 English level with polished, professional written and verbal communication.
  • Near‑Perfect accent required; clear and easily understandable English is essential.
  • 2+ years of experience as a receptionist or virtual assistant in a professional services environment (law firm experience is a strong plus).
  • Proficiency with:
  • Multi‑line phone systems
  • Email and case‑management tools
  • Calendar and scheduling platforms
  • Zoom or similar video‑conferencing tools
  • Strong organization, attention to detail, and time management skills.

Nice to Have

  • Prior experience working in a law firm, especially within real estate law.
  • Familiarity with document formatting and basic legal intake processes.
