Job Description

Job Role:

1. Transaction Coordination: Manage real estate transactions from contract acceptance through closing, including all administrative tasks and client communication

2. File Maintenance: Organize, maintain, and manage transaction files and documentation

3. Client Communication: Handle correspondence and phone calls with existing clients, providing updates and responding to inquiries

4. Reporting: Generate and run transaction reports as needed

5. Sales Support: Support brokers and sales representatives with administrative and operational tasks

6. Property Management Support: Assist with property management company responsibilities as needed

Qualifications:

1. Minimum 2+ years of direct experience in real estate administrative support or transaction coordination

2. Must have been actively involved in multiple real estate transactions (ideally dozens) at every level—not just file management or email monitoring

3. Familiarity with real estate processes in Western Washington State, U.S., or Canada preferred

4. Proven ability to communicate professionally with clients via phone and email

5. Highly detail-oriented with strong organizational skills

6. Professional and personable communication style

7. Cheerful, positive demeanor

8. Excellent customer service orientation

9. Ability to build rapport with clients

10. Strong work ethic and reliability
