We are seeking a highly organized and detail-oriented
Real Estate Transaction Coordinator to oversee residential real estate transactions from contract to close. This role is responsible for ensuring all transaction milestones, documentation, timelines, and compliance requirements are completed accurately and on schedule.
The ideal candidate is proactive, customer-focused, and capable of managing multiple transactions simultaneously in a fast-paced real estate environment. They will serve as a key liaison between agents, buyers, sellers, lenders, escrow officers, title companies, and vendors to ensure a smooth and successful closing process.
Key Responsibilities
Transaction Management
- Coordinate all aspects of residential real estate transactions from executed contract through closing.
- Review purchase agreements and supporting documentation for completeness and accuracy.
- Manage transaction timelines, contingency periods, and critical contract deadlines.
- Monitor escrow, title, appraisal, inspection, financing, and closing milestones.
- Ensure compliance with brokerage policies and state real estate regulations.
- Proactively identify and resolve transaction issues to prevent delays.
Communication & Coordination
- Serve as the primary point of contact for agents, clients, lenders, title companies, escrow officers, inspectors, and vendors.
- Provide regular transaction updates to all parties involved.
- Schedule inspections, appraisals, final walk-throughs, and closing appointments.
- Facilitate communication between stakeholders to ensure seamless transaction progression.
Administrative Support
- Maintain accurate digital transaction files and CRM records.
- Prepare, distribute, and track disclosures, addendums, and closing documents.
- Monitor earnest money deposits and contract compliance requirements.
- Assist with listing onboarding and property file organization.
- Generate transaction reports, status updates, and summaries as needed.
Client Experience
- Deliver exceptional customer service throughout the transaction process.
- Ensure buyers and sellers receive timely responses to inquiries.
- Help create a smooth, stress-free closing experience for all clients.
- Maintain professionalism and confidentiality in all communications.
Qualifications
- Previous experience as a Real Estate Transaction Coordinator, Real Estate Assistant, Escrow Assistant, or similar role preferred.
- Strong understanding of residential real estate transactions, contracts, and closing procedures.
- Experience using MLS systems, DocuSign, SkySlope, Dotloop, or similar transaction management platforms.
- Excellent organizational, multitasking, and time-management skills.
- Strong verbal and written communication abilities.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Arizona Real Estate License preferred but not required.
- Ability to manage multiple transactions simultaneously while meeting deadlines.
- Strong problem-solving and critical-thinking abilities.
- Experience supporting real estate investors, fix-and-flip projects, or high-volume sales teams.
- Self-motivated and capable of working independently in a remote or hybrid environment.
