Job Description

Job Type: Independent Contractor - Full time

Compensation: AUD $1,800 - $2,000 per month, all inclusive

Working Hours: Flexible work hours. Our business operates between 5:00 AM - 10:00 PM (PH time)

Location: Offshore - Philippines

Reporting To: Integrator / Operations Manager

In 2024, a group of lifelong friends in Brisbane turned a handful of properties into a growing short-term rental business. Smart Suites now manages more than 100 rooms across Queensland and is continuing to expand through technology, disciplined operations, and new property opportunities.

As we grow, we are building a stronger acquisition and funding pipeline across motels, boarding houses, leasehold businesses, and land opportunities. We are looking for an organised, commercially minded person who can help keep those opportunities moving from initial research through finance application, due diligence, and decision.

This is not an accounting role. This is not a traditional back-office finance role. It is a hands-on acquisition, finance application, and stakeholder coordination role.

AI will do much of the analytical heavy lifting. Your value will be in gathering the right inputs, following a structured prompting framework, checking the output, spotting gaps or risks, communicating with the right people, and driving the next action.

Important Notes Before You Apply

  • Role Type: Full-time independent contractor. This is not a permanent employee role.
  • Compensation: AU$1,800-2,000 per month (all-in).
  • Experience: Around 1-3 years of relevant experience is preferred, but strong transferable experience and potential will be considered.
  • Schedule: Flexible work hours. Our business operates between 5:00 AM - 10:00 PM (PH time).
  • Work Setup: Offshore role based in the Philippines. You must be able to commit full-time; part-time consulting arrangements are not being considered.
  • Time & Productivity Tracking: Contractors use Hubstaff for time and activity tracking to support transparency and accurate payment processing.

Role

  • Initial Interview (30-45 min): A conversation about your background, motivation, transferable experience, and fit.
  • Technical Live Assessment (60-90 min): A case-based assessment covering deal screening, AI-assisted analysis, finance application thinking, lender or stakeholder scenarios, organisation, and judgement.
  • Behavioral Interview (60 min): A deeper discussion about communication, ownership, adaptability, negotiation, and culture fit.
  • Meet the Founder Session (30-60 min): A final conversation about expectations, growth, and Smart Suites long-term direction.
  • Pre-Engagement Steps:
    • IT Audit: To ensure compliance with systems and tools.
    • Reference Check: To confirm work history and professionalism.
What You'll Do

You will support Smart Suites acquisition and funding pipeline by turning incomplete information into organised next actions and keeping deals moving across multiple stakeholders.

Deal Sourcing & Opportunity Coordination

  • Research and shortlist acquisition opportunities across motels, boarding houses, leasehold businesses, and land or development sites.
  • Collect and organise property, operating, financial, planning, and market information needed to assess each opportunity.
  • Liaise with agents, landowners, brokers, and other stakeholders to obtain missing information and clarify deal details.
  • Maintain acquisition trackers with clear status, priority, owner, next action, deadline, and key risks.

AI-Assisted Deal Analysis

  • Use Smart Suites structured prompting framework to produce and update deal screening, feasibility scenarios, risk summaries, and decision materials.
  • Prepare or update revenue, operating cost, CapEx, debt servicing, cash flow, break-even, and sensitivity scenarios using AI-assisted tools and established templates.
  • Review key metrics such as ROI, IRR, DSCR, LVR, and equity requirements where relevant.
  • Validate source inputs and AI-generated outputs, challenge assumptions that do not make sense, and clearly flag missing or unverified information.
  • Summarise the commercial case, key risks, and recommended next steps in a concise decision-ready format.

Finance Applications & Lender Management

  • Prepare lender-ready loan and finance application packages, including deal summaries, financial projections, servicing information, supporting documents, and risk commentary.
  • Keep finance checklists and supporting documents complete, current, correctly labelled, and easy for banks or brokers to review.
  • Work with banks, mortgage or commercial finance brokers, and internal stakeholders to progress applications from initial enquiry through assessment and approval.
  • Manage lender questions, pushback, clarification requests, and requests for additional information. Track outstanding items and escalate material issues early.
  • Support comparisons of lender terms, repayment scenarios, funding structures, and conditions using AI-assisted analysis and standard templates.

Stakeholder & Process Management

  • Build productive working relationships with banks, brokers, agents, landowners, planners, engineers, legal advisers, accountants, and internal decision-makers.
  • Ask clear questions, manage pushback professionally, negotiate practical next steps, and follow up persistently without damaging relationships.
  • Keep stakeholders aligned on requirements, deadlines, decisions, and dependencies.
  • Keep records, files, versions, approvals, and hand-offs organised so opportunities do not stall because of missing information or unclear ownership.

Risk, Due Diligence & Pipeline Reporting

  • Research zoning, licensing, planning, and regulatory considerations using source documents and AI-assisted research, and coordinate specialist advice where needed.
  • Track due diligence items, conditions, dependencies, and unresolved questions through to closure.
  • Identify downside risks, operational implications, financing constraints, and potential deal blockers early.
  • Prepare concise acquisition and finance pipeline updates covering progress, blockers, decisions required, and upcoming deadlines.

Who We're Looking For

You do not need to be a senior investment analyst. We are open to candidates earlier in their career who show strong potential, ownership, organisation, people skills, commercial curiosity, and confidence using AI.

  • Approximately 1-3 years of relevant experience is preferred, although strong transferable experience will be considered.
  • Relevant backgrounds may include mortgage broking, loan processing or credit support, commercial or property finance, real estate operations or acquisitions, town planning, engineering, valuation, property development, or similar property-related roles.
  • Strong organisation and follow-through: you can manage multiple opportunities, documents, stakeholders, deadlines, and follow-ups without losing detail.
  • Confident stakeholder and people skills: you can ask for information, handle pushback, negotiate a practical next step, and communicate professionally with banks and external parties.
  • Comfortable using AI tools and following a structured prompting framework; willing to test, validate, and improve AI-assisted work rather than accepting the first output.
  • Practical financial literacy, including a working understanding of loan applications, cash flow, debt servicing, LVR, DSCR, and basic investment returns. Deeper modelling skills can be developed in the role.
  • Working knowledge of Excel or Google Sheets with strong attention to data and document accuracy.
  • Strong written and spoken English for lender, broker, agent, and internal communication.
  • Exposure to the Australian property or lending market is preferred but not mandatory.
  • Proactive, curious, commercially minded, and comfortable taking ownership of an outcome rather than waiting for step-by-step direction.

  • Critical blockers are escalated early rather than allowed to sit unresolved.
