Job Description

DMS (Document Management System) Project

Responsible for the implementation of a single, reliable, controlled, and cross-functional source of information for regulatory, quality, and product stewardship documentation, enabling the company to manage chemical product information efficiently while maintaining compliance and supporting Sales and business operations.

Quality Management and Product Stewardship

Responsible for maintaining and monitoring product quality, safety, and compliance, and supporting the implementation of Quality Control and Product Stewardship requirements to ensure that products meet company, regulatory, and client standards.

  • Monitor product quality and compliance with established specifications and standards.
  • Review product quality issues, complaints, and non-conformities and prepare Corrective

actions and preventive actions (CAPA).

  • Assist in the review and verification of MSDS/SDS and related product safety information.
  • Serve as document controller for the QEHS and Regulatory Department. Maintain the master list of controlled documents and ensure that only the latest approved versions are available to concerned departments.
  • Control the issuance, revision, distribution, retrieval, and archival of procedures, work instructions, forms, manuals, and other documented information covered by the applicable document control framework.
  • Maintain the confidentiality, integrity, and accessibility of documented information and ensure that access is granted only to authorized personnel.
  • Coordinate with document owners and process owners to ensure that documents are

periodically reviewed, updated, and approved to maintain their accuracy and relevance.

  • Receive, document, monitor, and coordinate the investigation of product complaints, ensuring that all complaints are properly communicated to the responsible departments for appropriate action and resolution.
  • Ensure that all product-related documents are valid, current, and readily available to

support customer requests, product evaluations, regulatory requirements, and client audits.

  • Coordinate with Sales, Imports, Warehouse, Operations, EHS, Quality Assurance, and other relevant departments to obtain updated product information and ensure compliance with customer and regulatory requirements.
  • Serve as the company's representative, as assigned, during client audits by facilitating audit activities and preparing, consolidating, and presenting all required documents to demonstrate compliance with applicable customer and regulatory requirements.
  • Perform other quality and Product Stewardship duties assigned by the QEHS/Regulatory Head.
  • May be assigned to other projects, duties, and responsibilities as may be required by Management from time to time.
  • Qualification Requirements

Education

College Graduate, BS Chemical Engineering,

BS Chemistry and other Chemical Related Courses.

Training

Knowledgeable in ISO 9001:2015 is an advantage.

Licenses/Registration

Preferably Chemist, Chem Tech, Med Tech, RPh

Work Experience

At least 1–2 years of experience.

Soft Skills

Strong communication and interpersonal skills, Attention to detail and accuracy in documentation; Proficiency in Microsoft Office applications and report preparation; Ability to work independently and collaboratively with cross-functional teams

Attitude

Positive attitude with a continuous improvement mindset; can work under pressure
