Job Title: Quality Assurance & Intake Coordinator (ABA Therapy)

Location: Fully Remote, Philippines

Rate: $4.00 - $6.00 per hour based on experience

Schedule: Monday to Friday, Central Standard Time

Job Description

As a Quality Assurance & Intake Coordinator, you will be providing administrative support focused on clinical note quality assurance, client intake, and scheduling management.

Requirements

  • 1–2 years of experience in medical quality assurance or a related clinical/administrative role
  • Background in a therapy office setting with experience in ABA therapy or autism services
  • Experience in medical transcription is preferred
  • Good English communication skills
  • Strong attention to detail and ability to identify incomplete or missing documentation
  • No prior experience with scheduling/notes software required as full training will be provided.

Responsibilities

  • Review session notes submitted by therapists for completeness, proper order, and missing entries
  • Flag and follow up on incomplete or absent documentation
  • Upload and manage reviewed notes within the internal software platform
  • Answer incoming calls from prospective clients and families
  • Collect and accurately record required intake information and client details
  • Provide a professional first point of contact for new clients
  • Manage and coordinate therapist and client appointments
  • Handle scheduling changes, cancellations, and follow-ups
  • Maintain accurate and up-to-date appointment records within the scheduling software

  • Ability to work both independently and as part of a team.
  • Must have their own work device (preferably a desktop or laptop) and a stable internet connection.
  • Must be comfortable with using a time-tracking software for payroll purposes.
  • Must be willing to undergo a background verification check during the final stages of the hiring process.

Successful candidates for this role will be rewarded with the following benefits:

  • A total of five paid vacation days per year (additional days can be taken unpaid).
  • A 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).
  • A paid 15-minute break for every 4 hours of work.
  • Healthcare benefits after 2 months of full-time work.
  • Vacation days increase by 1 vacation day per year. I.e. after one year of employment, the total paid vacation days on year 2 would be six, on year 3 seven, etc.
