BASIC FUNCTION
Manage and control all documented information requirements as required by RUA Seguridad Quality Management System and applicable international standards.
RESPONSIBILITIES
- Responsible for maintaining the compliance of documented information based on ISO 9001:2015 and the organization's Quality Management Systems.
- Coordinate all documentation activities, including the document sending for review and approval, registration, controlling, dissemination, updating, storage, safekeeping, retrieval, and disposal of documents.
- Write procedures and work instructions as necessary. Revised and updated the document based on the organization's document control process and requirements.
- Responsible for maintaining the Document Management System of RUA.
- Control the creation, review, and formal approval of documents before they are issued to ensure they are adequate for use.
- Identify changes and current revision status to prevent the unintended use of obsolete documents. This includes clearly labeling superseded versions and retiring them from active use.
- Ensure that the most current, relevant versions of documents are available at all necessary points of use, whether in digital or physical format.
- Define and maintain controls for the identification, storage, protection, retrieval, and retention period of records (evidence of completed activities).
- Establish and update document registers (Master Lists) to provide an accurate overview of all controlled documentation.
- Provide objective evidence of document and record control during internal and external ISO audits.
REQUIREMENT
- Bachelor's Degree Holder - Any business-related or engineering.
- With experience in the implementation of ISO 9001 or any other Management Systems.
- Proficient in Google Workplace - including Google Docs, Spreadsheets, and the Google website.
- Able to communicate in oral, written, report writing, and presentation
- Able to recommend process and project improvements that the organization may benefit from.
- Can perform internal audit based on the requirements of ISO 9001, customer & internally established requirements, to assess whether the organization's management system conforms to these requirements and is effective.
- Precision in tracking metadata, revision levels, and approval dates.
- Competence with Document Management Systems (DMS) or platforms like Google Website.
- Understanding the relationship between documented processes and organizational compliance.
