We are growing our contract manufacturing and white-label division, and we're looking for an experienced QA/QC Specialist to join our pioneering team.

Role Overview

The QA/QC Specialist is responsible for establishing, maintaining, and continuously improving quality systems within the fragrance manufacturing facility. This role ensures compliance with Good Manufacturing Practices (GMP), Philippine FDA regulations, and internal quality standards.

The position combinesQuality Assurance (systems and compliance)andQuality Control (inspection and testing)functions, while also supportingpurchasing and inventory controlsto ensure uninterrupted, compliant production operations.

The ideal candidate is analytical, detail-oriented, structured, and proactive in identifying risks and resolving quality issues.

Key Responsibilities

I. Quality Assurance (QA)

Systems Development & Compliance

  • Develop, implement, and continuously improve Standard Operating Procedures (SOPs) for production, fulfillment, warehousing, and laboratory activities.
  • Ensure strict implementation of Good Manufacturing Practices (GMP) across all operational areas.
  • Establish documentation controls for batch records, deviations, corrective and preventive actions (CAPA), and change management.
  • Lead internal audits and prepare the facility for regulatory inspections (FDA, DENR, and other relevant agencies).
  • Investigate non-conformances, deviations, and customer complaints; recommend corrective and preventive actions.
  • Review and approve batch production records prior to product release.
  • Prepare and issue Certificates of Analysis (COA) and product release documentation.
  • Support environmental, health, and safety compliance related to chemical handling and storage.

II. Quality Control (QC)

Inspection & Testing

  • Inspect incoming raw materials, fragrance oils, packaging components, and production supplies against approved specifications.
  • Conduct in-process quality checks during compounding, filling, and packaging operations.
  • Inspect finished goods prior to release and distribution.
  • Perform basic laboratory tests including but not limited to pH testing, visual inspection, stability observation, density or specific gravity (if required)
  • Coordinate external laboratory testing for microbiological or advanced analytical requirements.
  • Implement and manage sample retention systems.
  • Monitor product shelf-life and stability data.
  • Equipment & Environment Monitoring
  • Maintain calibration logs for laboratory and measuring equipment.
  • Monitor and record temperature, humidity, and environmental conditions in production and storage areas.
  • Ensure proper cleaning, sanitation, and maintenance records are updated.

III. Documentation & Regulatory Compliance

  • Maintain complete and accurate batch production records.
  • Manage inspection logs, quality reports, and audit documentation.
  • Assist in FDA product notifications, renewals, and regulatory submissions.
  • Support preparation of Product Information Files (PIF) and technical documentation for white-label clients, export customers, distributor requirements.
  • Ensure all documentation meets traceability and audit standards.
  • Maintain controlled document filing systems (digital and physical).

IV. Purchasing & Inventory Management Support

  • Source and evaluate suppliers for raw materials, packaging components, and lab/production supplies.
  • Ensure purchased materials meet approved quality specifications.
  • Coordinate material requirements planning with production schedules.
  • Monitor inventory levels of raw materials, alcohol and fragrance compounds, packaging materials, finished goods.
  • Implement stock rotation (FIFO/FEFO where applicable).
  • Track shelf-life of materials and prevent expired inventory.
  • Prepare purchase orders and maintain supplier records.
  • Assist in periodic inventory counts and reconciliation.

Performance Expectations

The QA/QC Specialist is expected to:

  • Establish a structured, audit-ready quality system.
  • Reduce production errors and deviations through preventive controls.
  • Maintain 100% documentation completeness and traceability.
  • Ensure regulatory readiness at all times.
  • Support uninterrupted production through proactive inventory planning.
  • Promote a culture of quality, discipline, and continuous improvement.

Qualifications

Education

Bachelor's degree in Chemistry, Chemical Engineering, Pharmacy, or related field.

Experience

  • 25 years of experience in QA/QC, preferably in cosmetics, fragrance, food, pharmaceutical, or chemical manufacturing.
  • Experience working in GMP-regulated environments preferred.
  • Exposure to FDA documentation and regulatory processes is an advantage.

Technical Skills

  • Knowledge of GMP and quality documentation systems.
  • Familiarity with Philippine FDA cosmetic regulations.
  • Basic laboratory testing competency.
  • Strong documentation and record-keeping discipline.
  • Inventory and supplier management exposure is a plus.
  • Proficient in Microsoft Office (Excel, Word, documentation tools).
