The Purchasing Officer is responsible for sourcing, negotiating, and procuring materials, services, and contracts related to facilities operations and project maintenance. The role ensures cost efficiency, quality compliance, timely delivery, and effective vendor partnerships to support facility upkeep and project execution.
Procurement & Purchasing Operations
- Process purchase requests related to facilities operations and maintenance projects
- Source materials, equipment, and services in accordance with approved specifications and timelines
- Prepare and issue purchase orders and contracts in compliance with company policies
Vendor Management
- Identify, evaluate, accredit, and maintain a pool of qualified vendors and contractors
- Negotiate pricing, payment terms, service levels, and contracts to achieve cost savings
- Monitor vendor performance, service quality, and compliance with SLAs
- Resolve vendor issues related to delivery, quality, and service performance
Facilities & Project Maintenance Support
- Coordinate closely with Facilities, Engineering, and Project teams to understand technical requirements
- Support preventive and corrective maintenance procurement needs
- Assist in project-related purchasing including renovations, repairs, and upgrades
Cost Control & Documentation
- Ensure cost competitiveness and budget adherence
- Maintain accurate procurement records, vendor files, and contract documentation
- Prepare procurement reports, cost comparisons, and vendor performance evaluations
Compliance & Risk Management
- Ensure procurement activities comply with internal controls, audit requirements, and safety standards
- Support audits by providing complete and accurate procurement documentation
Ad Hoc
- Performs other procurement-related tasks that may be assigned individually or as part of a committee.
Qualifications
- Minimum 2 years of purchasing/procurement experience
- Bachelor's Degree in Business Administration, Supply Chain Management, Engineering, or related field
- Proven background in vendor management for facilities, building maintenance, and project-based procurement
- Experience handling contractors, service providers, and technical suppliers (e.g., MEP, civil works, equipment, consumables)
- Willingness to coordinate with internal stakeholders and external vendors
