Position Summary
This position is responsible for supporting daily procurement activities to meet plant requirements at an optimal cost, administering business transactions with suppliers as contracted, assisting with invoice reconciliations, and supporting inventory management and MRP maintenance activities. The role follows established procedures and policies to complete standard procurement tasks, consulting with the lead or supervisor on complex or unusual situations.
Knowledge
Acquires required job skills and company policies to complete standard tasks.
Familiarity with ERP systems for purchase order management and supplier coordination.
Responsibilities
Procurement Management and Inventory Control:
- Procures materials to meet customer requirements at an optimal cost while and schedules supplier deliveries based on requirements.
- Process purchase orders and requisitions ensuring accuracy and completeness.
- Track and expedite deliveries to prevent supply chain disruption.
- Coordinate shipping, receiving, and warehousing activities.
- Monitor inventory levels and ensure timely restocking
Stakeholders And Vendor Relations
- Maintain positive relationships with suppliers and stakeholders ensuring clear communication of requirements, expectations, and delivery schedules.
- Identifies customer needs through communication and probing.
- Escalates issues to supervisors or senior peers for resolution to product quality, pricing discrepancies, and delivery delays.
- Participates in conferences calls, meetings, and discussions with stakeholders/suppliers.
Internal Communications
- Maintain accurate procurement records and reports.
- Participates in team meetings, huddles, and information cascades.
- Records and submits periodic and/or quarterly transaction records, log sheets and/or trackers.
- Consults with supervisor on procurement risks and escalates as needed.
Compliance And Process Improvement
- Ensure all purchases comply with legal and regulatory requirements.
- Assists the team lead in identifying team opportunities and challenges.
- Flags potential cost-saving opportunities to supervisor for evaluation.
Team Support And Development
- Completes individual development plan and implements agreed training/development activities.
- Serves as back-up for next level similar or related function for business continuity.
- Establishes process documentation for all assigned responsibilities and ensures its accuracy.
- Actively participates in team and company-wide activities and initiatives.
Supervision
- Receives general direction for standard work and detailed instruction for new assignments or precedents, with some decision‑making required.
- Reports to the Team Leader / Supervisor, Purchasing Operations with functional oversight from a Procurement Manager.
- Works under general direction; consults supervisor on complex issues.
Qualifications
Education & Experience:
- Bachelor's degree preferred in supply chain management, business administration, finance, engineering, logistics or a related field (associate degree with experience is acceptable.)
- 1-2 yrs experience in purchasing, procurement, or supply chain roles and customer service field.
Skills And Competencies
- Good communication skills for supplier interactions and internal coordination for supplier interactions and internal coordination.
- Intermediate MS Excel knowledge is a must - ability to work with pivot tables, charts.
- Detail oriented and good analytical skills for reviewing purchase orders and requisitions.
- Time management & multitasking to handle multiple orders and vendor relationships.
- Knowledge of purchasing processes (purchase orders, supplier communication, inventory management) is an advantage.
- Works under general direction; consults supervisor on complex issues
- A team player with a positive attitude.
