Job Description

Office Beacon is looking for a detail-oriented and highly organized Purchasing Assistant to support our procurement and inventory processes. This role is ideal for someone who enjoys working with data, managing orders, and ensuring accuracy across systems.

Key Responsibilities

  • Create inbound shipments in NetSuite based on vendor packing lists
  • Generate purchase orders (POs) from demand file orders
  • Update promised ship dates and expected receipt dates in PO lines
  • Coordinate backorder (B/O) component due dates in work orders
  • Provide ETA updates to Sales and Customer Service teams
  • Create transfer orders across locations (ENV2, ENV3, NW2, NW3)
  • Update POs based on confirmed proforma invoices (PIs)
  • Add and maintain spike codes on a monthly basis
  • Review sales data to identify and validate demand spikes
  • Update inbound shipment allocations based on distribution plans
  • Run and monitor PO status reports

Qualifications

  • Experience in purchasing, supply chain, or inventory-related roles
  • Familiarity with NetSuite (NS) or similar ERP systems is an advantage
  • Strong attention to detail and accuracy
  • Good organizational and time management skills
  • Effective communication skills for cross-team coordination
  • Analytical mindset, especially in reviewing sales or demand data
