Purchasing Duties:
Source suppliers and request quotations for materials, supplies, and services
Compare prices, specifications, and delivery terms to ensure cost-effective purchasing
Prepare, issue, and process Purchase Orders (POs)
Coordinate with suppliers regarding order status, delivery schedules, and discrepancies
Monitor and track all purchase orders to ensure timely delivery
Verify delivered items against purchase orders and delivery receipts
Maintain updated supplier database and purchasing records
Assist in negotiating pricing, payment terms, and contracts when necessary
Monitor inventory levels and coordinate replenishment of stocks
Monitor email communications and respond to supplier and internal inquiries professionally.
Coordinate with warehouse and logistics partners for shipment and delivery schedules.
Administrative Duties:
Provide general administrative support to manager
Prepare reports, spreadsheets, and other necessary documentation
Maintain organized filing systems (physical and digital)
Handle incoming calls, emails, and correspondence
Schedule meetings and coordinate appointments when needed
Assist in preparation and processing of import/export documentation and related paperwork.
Perform other administrative and operational tasks as assigned by the manager.
Requirements:
High school graduate or bachelor's degree of any course.
Must have experience in purchasing, procurement, or administrative assistant work.
Must have a working laptop and is proficient in Microsoft Excel, Google Sheets, and email correspondence.
Strong negotiation and communication skills.
Detail-oriented, organized, and able to handle multiple tasks.
Ability to work independently with minimal supervision and coordinate effectively with suppliers.
Working Conditions:
Office-based set-up with regular coordination to suppliers and manager.
Work schedule is Monday-Friday, 9am-5pm. Our office is located in Manila.
