The Proposals Coordinator is responsible for preparing, formatting, and producing high-quality tenders, proposals, and marketing collateral that accurately reflect our technical capability and align with brand and compliance requirements. This is a creative–technical hybrid role that bridges business development, engineering, and corporate communications.
The role requires both precision and creativity — combining written and visual communication skills with the ability to interpret technical input and translate it into clear, compliant, and visually engaging client deliverables.
Key Responsibilities
Tender & Proposal Coordination
- Compile and format EOIs, tenders, and proposals for engineering and construction projects.
- Liaise with engineering, HSE, and commercial teams to gather and refine input.
- Ensure accuracy, completeness, and compliance with client submission requirements.
- Track submission timelines, coordinate review cycles, and manage version control.
- Maintain and update a library of templates, CVs, and project profiles.
Document Production
- Ensure consistent use of corporate branding, tone, and document structure across all deliverables.
- Format technical and marketing content into clear, professional layouts.
- Support preparation of capability statements, project case studies, and team bios.
- Graphic Design & Visual Support
- Develop simple graphics, icons, and infographics using Canva or Adobe Creative Suite.
- Design and format internal and external collateral (e.g., capability decks, case studies, social media images).
- Contribute to visual storytelling that enhances technical messaging.
Change Management & Systems Support
- Assist with updating BMP (Business Management Process) documents, templates, and visuals as part of IFS system rollout and continuous improvement initiatives.
Key Success Metrics
- Quality, clarity, and visual consistency of proposal and tender submissions.
- Timely delivery of compliant and client-ready documents.
- Positive feedback and satisfaction from internal engineering and BD stakeholders.
- Continuous improvement and proactive ownership of templates, libraries, and processes.
Candidate Profile:
- Background in proposals coordination, marketing communications, or technical documentation — ideally within engineering, construction, or project delivery environments.
- 8+ years experience in a similar role
- High attention to detail and ability to manage confidential information
- Strong writing, editing, and layout skills with a keen eye for design and detail.
- High level of organisation, deadline discipline, and comfort working with multiple contributors.
- Technically literate — able to interpret engineering content and present it clearly.
- Proficient in Microsoft Office, Canva, and/or Adobe Creative Suite.
- Collaborative, proactive, and adaptable to changing business priorities.
- Strong administrative, compliance, and process management skills
- Excellent written and verbal communication skills in English
Optional / Highly Regarded
- Experience working with Australian or multinational engineering and project delivery firms.
- Familiarity with IFS or other ERP/document management systems.
- Exposure to business development or pre-contracts functions.
