What is the job

The Property Management Associate is responsible for supporting the effective operation, maintenance, and compliance of facilities across a diverse real estate portfolio. The role ensures that all building systems, equipment, and service contracts are proactively maintained and documented within Yardi Maintenance IQ or similar platforms.

Responsibilities:

  • Organize and manage preventative maintenance programs in Yardi Maintenance IQ, ensuring timely completion by superintendents or vendors.
  • Track, coordinate, and relay unit access information for maintenance and third-party vendor activities.
  • Maintain detailed documentation for preventative maintenance visits, inspections, and repair activities.
  • Assist in developing and implementing preventative maintenance procedures across the property portfolio.
  • Build and maintain an up-to-date inventory of building systems and equipment (e.g., HVAC units, stoves, refrigerators, and appliances) within Yardi.
  • Coordinate inspections with insurance adjusters, financial institutions, and compliance authorities.
  • Maintain and track compliance-related documentation, ensuring service contracts (e.g., fire extinguishers, elevator inspections, sprinkler systems) are completed and filed.
  • Work with vendors and superintendents to complete punch list items from Property Condition Assessments (PCAs).
  • Communicate effectively with residents, vendors, and internal teams to ensure all maintenance and capital projects meet standards and timelines.
  • Identify opportunities to improve maintenance processes, cost efficiency, and operational performance

Qualifications:

  • Has background in mechanical, electrical, and plumbing (MEP) systems.
  • Experience using Yardi Maintenance IQ or similar maintenance management platforms.
  • Demonstrates strong organizational, analytical, and reporting skills.
  • Proactive, detail-oriented, and capable of managing multiple concurrent projects.
  • Clear and coherent both written and verbal communication skills in English, to effectively collaborate with vendors, internal teams, and residents.
