Job Description

Job title: Property Management & Operations Coordinator

Type of employment: Full-time

Shift Schedule: Mon - Fri, 9:00 AM - 5:00 PM EST

High-level summary

  • Own core community operations and resident-facing admin for a manufactured housing portfolio using Rent Manager.
  • First 6 months focus: 60% CRM data cleanup, profile backfilling, and record standardization. Transition thereafter into work order dispatch, lease-ups, notices QC, and monthly close support.
  • Deliver an empathetic, reliable resident experience through timely communication, strict process discipline, and proactive problem-solving.

Objectives of this role

  • Clean and standardize Rent Manager data, ensuring all tenant profiles and documentation are current and accurate within 6 months.
  • Serve as the primary, highly responsive point of contact for all resident admin workflows.
  • Improve resident satisfaction through faster response times and reliable follow-through.
  • Reduce operational risk by auditing notices, compliance steps, and timelines.

Responsibilities

  • CRM / Rent Manager Ownership: Clean, backfill, and maintain accurate resident profiles; log communications for an auditable history.
  • Onboarding & Compliance: Onboard new residents, track compliance milestones (leases, rules acknowledgments, insurance tracking), and flag renewal timelines.
  • Work Orders & Dispatching: Receive, route, and track work orders from submission to completion; coordinate with on-site staff and vendors.
  • Notices & Quality Control: QC automated CRM notices; support eviction/notice workflows with precise documentation and date tracking.
  • Financial Admin Support: Assist with rent roll accuracy, payment posting, delinquency visibility, and monthly book-closing documentation.
  • Process Improvement: Work autonomously via SOPs, communicate updates proactively, and suggest workflow improvements.

Required skills and qualifications

  • Proven experience in long-term residential property management or operations (not short-term rentals).
  • Strong proficiency with Rent Manager (strong plus) or a comparable property management CRM.
  • High attention to detail with data integrity and record-keeping discipline.
  • Excellent verbal/written communication; empathetic and professional with tenants.
  • Ability to work independently, maintaining momentum without constant supervision.

Technical requirements

  • Reliable computer + secure high-speed internet.
  • Ability to handle document scanning/printing and Mac/Windows file conversions.

Preferred skills and qualifications

  • Direct experience in manufactured housing community operations.
  • Familiarity with Fair Housing compliance, lease-ups, and insurance verification tracking.
  • Proven ability to improve operational processes (SOPs, trackers) while maintaining a high-touch resident experience.
