Property Management Administrative Assistant

Work Hours: Monday to Friday, 8:30 AM to 5:00 PM Central Time, with a 30-minute break
Salary: $1,000 per month
Job Overview:
We are seeking a Property Management Administrative Assistant to support the day-to-day operations of a residential property management business managing approximately 275 units on the west side of Chicago. This role will provide leasing, tenant, and administrative support while working closely with the property management and field teams. The ideal candidate has hands-on experience with affordable or subsidized housing and housing authorities, strong phone and communication skills, and experience with property management software. The role requires frequent communication and follow-up with tenants, housing authorities, utility providers, and other stakeholders.
Key Responsibilities:
- Provide administrative support for leasing activities, including gathering documents, issuing leases and renewals and coordinating move-ins.
- Handle basic bookkeeping tasks, including recording tenant payments, applying fees, processing vendor payments, and reconciling cash transactions.
- Prepare, submit, and follow up on housing authority paperwork and coordinate inspections, particularly with the Chicago Housing Authority (CHA).
- Communicate with utility providers such as ComEd and People's Gas regarding utility services, including turning utilities on and off.
- Proactively follow up with tenants, vendors and agencies on outstanding issues.
- Maintain accurate information in property management software.
- Provide general back-office support for the 275-unit portfolio.
Required Skills & Qualifications:
- Comfortable working with lower-income and subsidized tenants. Direct experience working with housing authorities or government housing agencies is required.
- Experience with property management software is required. AppFolio experience is preferred. EliseAI experience is not required; training will be provided.
- Strong spoken English and excellent phone communication skills.
- Persistent, proactive, and resourceful when resolving issues and follow ups.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and follow-ups independently.
- Comfortable working remotely and supporting a fast-paced property management operation.
Important Requirement: Hands-on experience with affordable or subsidized housing and housing authorities is essential for this role. Experience with conventional multifamily property management alone does not meet the requirements of the position.
